Thank for that question.  And sorry, I did not clarify that.  

Yes, Fenton let me know that we can have an e-vote on this.  However, if there is discussion required, then we would defer it to our in-person meeting.   From my position, there isn’t a discussion that I want to bring forward about it as the information is in the documents that I sent through.  However, certainly, if the board feels that a discussion is necessary, that can be voiced and we can defer.  The reason for the board vote, is that it is required by Clarke, Starke and Diegel so that they know the organization has accepted (or not) their review of our finances.  This will also be added to the policy and procedures manual so that the next board knows that this is the procedure.  

Also, sorry that you can’t see the files without the watermark.  That’s really odd because for me I can see it using the desktop app and I can see it clearly through the link I sent.  I, however, have the issue with the watermark when I tried to open it with Outlook preview or Apple Preview.   I’ll see if there is another way that people can access but I’m not sure at the moment what that is because these files were sent to us from Clarke Starke and Diegel. I’ll look into and if everyone is having those issues, we may have to defer.

Hi Dan and all, 

Thanks for sharing this. The Sync link still goes to the files with watermarks, which I personally do not mind (rather I see the necessity of it). 
On the side of procedures, though, in one of your last emails, you said "I’m going to see if we can do this via e-vote and I will get back to you with a confirmation of that."
I just wanted to double check that this is something we can e-vote per the CALS bylaws etc.

Good Day Everyone,

In order to move forward the process for our financial reconciliation, I’m asking for an e-vote to approve our financial statements from Clarke, Starke and Diegel.  Attached to this email you will find the reports from the review conducted by Clarke, Starke and Diegel.  Please note, this information is for the board and not for distribution to the general membership.  Please also note that Clarke, Starke and Diegel found that the are no anomalies in our finances. This is stated in their Conclusions on page 1 of each report. 

The reasons for the delays in this review are a few. First, there was a lack of communication between myself and Clarke, Starke and Diegel  that resulted in a long delay of exchange of information. Once we re-established communication, it was a learning process to understand and then gather the information needed for the review. The 2024 review was also interesting because there were many questions about the monies that came through our accounts related to CCLR. And then finally, just my own challenges in balancing this work with all the other challenges of our jobs.  My apologies for this.  On a positive note, we now know the information needed for future reviews and this information will be passed onto the next treasurer to ensure a smoother process. 


There are 2 motions I’d like to put forward. 

Motion 1:  To approve the Review Engagement Report prepared by Clarke Starke and Diegel for the 2024 financial year. 

Motion 2: To approve the Review Engagement Report prepared by Clarke, Starke and Diegel for the 2025 financial year. 


Please reply all with “approved” beside each motion.
