All,

There have been questions over the last week regarding the vacation eligibility and requirements and other questions regarding use of vacation for and by post docs. Unionized employees have their vacation entitlements outlined in their collective agreements and summer students and short-term appointments receive vacation pay in each pay period. We have consulted with Human Resources to ensure that all have a clear understanding of their vacation entitlements and received the following that is below in blue. Please note that the first two points specific to Post Docs, with the remaining points applicable to all employees:

  1. Post Docs are entitled to 19 vacation days per service year. These days cannot be carried over from one year to another, they need to be taken in the service year they are given.

2.      The paid days during the winter closure do not come from this entitlement.

3.      When an employee resigns, they cannot end on a vacation day, they cannot extend their end date using vacation time.

4.      Just to be clear, our obligation when it comes to the observance of holidays is that we make sure the employee is given the day off when needed. It is not a paid day like a statutory holiday. The employee can opt for day off without pay, vacation day or use overtime bank if they have them.

PI’s, it is your responsibility to ensure that the above are followed in your program and communicated to all new people in your program when they begin.
