Hi Everyone, While it was useful to create a website update process so that we could clearly communicate our needs, now that we have a web engineer it is best that any web updates be sent directly to them. The following is from Richard Norman, related to the process of updating segments of the website (and is also in the attached, please save it to your files): Moving forward website updates should be sent directly to Andrew Robinson: arobin(a)gmail.com<mailto:arobin@gmail.com>. As board members, we are content owners, so should be able to: 1. Determine appropriate updates related to their section 2. Follow up from our board meeting on Wednesday, tasks and due dates

Hi everyone, Thank you for meeting on Wednesday at our board meeting. This is a follow up email based on our conversation about website functionality and updates. We have decided we want web support for the following tasks: •Update the front/public facing website •For sustainability of the website, train board members on basic use of the website (to upload materials to the member portal, update front facing materials) •Support for quarterly content updates I have sent out requests for three quotes based this work. Once I receive the quotes, I will meet with the executive to make a recommendation to the board. Then I will send the recommendation to the whole board for an e-vote/approval. I hope to have this person working by the end of March, so the due dates below reflect this timeline. Tasks were identified for each subcommittee. I have added due dates. Each subcommittee chair: Create an annual process cycle for web updates. What content would you need uploaded to the web and when? Due to Fenton March 21. Student subcommittee: meet with Aggie to develop CCLR content for the Instagram account. March 21 Simon: to compile information on previous CALS award winners. March 21 Communications subcommittee: figure out a way to garner information from Congress attendees about what content is needed on the website (not a dream list, but a practical list). CALS board meeting, March 5th, Noon to 2pm Central time

Hi Everyone, Our next board meeting will be held on March 5th from Noon until 2pm, Central time. You should have received a zoom link invitation already. Please let me know if you are unable to attend the meeting so I can make sure that we have quorum. There are two important items that we need to discuss and make decisions on during this meeting related to changing our membership fee structure and website development. I anticipate that the discussion related to these items may take up most of the time at this meeting. As such, I will not be asking the subcommittees to give a verbal report. If there is time, we will have verbal reports from the Editor of Leisure/Loisir (Rebecca Genoe), Outreach and Events (Updates on Congress, Shintaro Kono), and the Awards Committee (Dawn Trussell). Can these three committees please submit written reports that can be shared in case there is not enough time for a verbal report? Find attached a pdf of the agenda and minutes from October 2024. Also note that our next board meeting will be held at Congress of the Federation of Social Sciences and Humanities, June 2nd from 5pm to 7pm Eastern Time, in a hybrid format. The following notes inform the discussion and motion for our March meeting related to website functionality. I am providing them here so you can think about it ahead of time and, if you are unable to attend the meeting, you can send your thoughts about the motions in the agenda to me directly and before the meeting. In May of 2024, we created and passed a motion to hire a research assistant to increase website functionality and communication to members. However, there are too many barriers for this work in practice (who will supervise the student? A student from which university? How can we find a leisure student with these skills?). To try and address this problem, I have also been in contact with Mitacs Manitoba who were very supportive and eager to fund a project where a computer science undergraduate student would work on this project with CALS as an industry partner. However, I could not find a computer science prof at UM who would be willing to take on the supervision of such a practical project. I am therefore requesting a new motion, where CALS requests quotes from more than one private firm with a focus on increasing the functionality of the website. The downside of this approach is that, in previous conversations with such firms, most want to build the website from scratch. CALS board meeting at Congress (June 2 to 4, 2025)

Hi Everyone, Thanks to Simon for asking the question about the format of our board meeting at Congress. We will follow the same format as our May meeting, where in person attendance will be encouraged but not required and the meeting will be hybrid. Our travel policy (attached) currently states that each member who attends the annual board meeting can be reimbursed for transportation and accommodation. At our March meeting on the agenda will be a discussion to cap this at $500 (for a few of reasons. We used to meet in person every three years and now we meet in person annually. Also, costs to travel have increased quite a bit. However, this discussion needs to consider the hybrid format of our meetings and board member needs). I am not sure what direction the board will take this discussion but wanted to be fully transparent. Please let me know if you have any questions. Announcements 1. Motion to adjourn What I need from you: 1. New membership fee and structure proposal: Read over the proposed new membership fee and structure. Be prepared to comment, discuss and respond to a motion (Dan will distribute to the board shortly). 1. Travel Policy: We have a need to update our travel policy. From Dawn: In the past travel support for board meetings was only provided to members who did not have any source of travel support from their institution. However, in recent years, for the annual CALS board meeting, we have either imposed a $500 limit or been covering some travel costs (e.g., two nights’ accommodation and flight/mileage/train depending on the location you are coming from. We asked folks to be mindful and to look for the most economical means). Some meals are covered during the 2-day meeting (2 lunches and 1 dinner) by CALS funds. During CCLR or Congress years, we generally asked board members to use their own conference travel funds to assist. How can we update our travel policy to reflect our current practice of holding hybrid annual meetings? There is also an option to host our annual board meetings on zoom only. However, as president, I find it very helpful to have at least some board members present. Board members also gain the well understood benefits of meeting in person (networking, relationship building, time spent together on breaks and in the evening, etc.). However, board members are also concerned about increasing travel costs combined with decreased funding, as well as the environmental costs related to travel. It is unlikely that CALS will have in person annual meetings with most in attendance (unless the meeting coincides with CCLR) but I provide the following only for context and to inform discussion: If we hosted our annual meetings in person, CALS cannot possibly fund all board members to travel. As an example, if the next board meeting was held at U Waterloo, ten of our board members would need to fly. For these members alone (@ approx. $1000 for flight and 2 nights accommodation), this would be $10, 000. If there was a cap of $500 for travel, this is still $5000. For both examples, there would be board members driving who would also need reimbursement. However, we can continue to have our annual board meetings in a hybrid format. For discussion: How do we reimburse those who chose to travel to the annual board meeting in person? Any CALS decision to spend money on travel detracts from our ability to hire an RA to work on a one-way communications strategy, an ‘orange light’ priority (something we work towards soon) identified by the board in May 2024. Some options for a travel policy include: 1. Set a maximum reimbursement for any number of members who travel (e.g., $500) 2. After creating an operating budget, the treasurer decides on an amount of money to set aside for board travel and this is split equally among all travelers (or consider those flying versus driving and weight reimbursement). 3. Pay only for flights. 4. Pay only for executive to travel. 1. Subcommittee chairs, please submit your sub-committee report (attached) as soon as you can. Thank you! Congress 2025 to be hosted at George Brown College, feedback required

Hi Everyone, As you know, Congress is being hosted at George Brown College this year, which poses some unique challenges as most Associations do not have any members at colleges and, if they do have members there, most of these members do not have research portfolios. Kim knows two previous Waterloo PhD grads who teach at GBC (neither are members of CALS and they do not have research portfolios) who are willing to take on the two roles that the Federation requires to host Congress (Local Access Coordinator and Program Chair). They can have this labour written into their workload as service. However, these two folks will need support in these roles from CALS member(s) who have active research portfolios and a history with CALS/CCLR. The executive met to discuss how we can support them, and an option is to create a Congress Program Co-Chair (CPC) role through the Outreach sub-committee. The CPC would be encouraged to apply for the CALS Connection Grant ($1500) to hire an RA and help lead the development of the program (Call for abstracts, abstract review, development of program, events, CALS meals, etc.) in collaboration with the LAC and PC from GB (Maggie Miller and Mahsa Rouzrokh). The CPC can also invite non-board members to contribute this work. As Chair of the Outreach committee, Shin has graciously offered to do this work (although he will be unable to attend Congress 2025 at GBC in person and wants to board to be fully aware of this). In the interest of full transparency, I wanted to email the board to ask if there was anyone else who was interested in taking on the role of the CPC through the Outreach Committee or joining the Outreach Committee to support Shin taking on this role. Please let me know your feedback, expressions of interest or support, by July 12th. Hi Everyone, Please see the attached documents related to our upcoming GMM (Agenda and 2023 GMM minutes) as well as a document related to our recent board discussion on increasing member benefits and a sub-committee report template. I am asking each sub-committee Chair to report at the GMM. If a Chair is unable to make the GMM, make sure that someone is speaking in your place and let me know who this is. Fill out the attached sub-committee template to guide your report and submit it to me ahead of the GMM. The report template asks a number of questions, including identifying short and long term priorities for action in 2024-2025. For this section, make sure you building on the brief sub-committee meetings from our May meeting where we had a chance to discuss the priorities identified for increasing member benefits. I am including Drs. Paul Heintzmen and Aggie Weighill in this email because they are on the agenda. Aggie, please see the ‘Increasing member benefits’ document as it is relevant for CCLR. Hi everyone, In preparation for our board meeting, there is much to do, including drafting responses to reflection questions and reading over documents and providing feedback. This preparatory work is important so that everyone can have a voice and that our time together at the annual meeting is as efficient as possible (with the caveat that we will learn together at the annual meeting through collective conversation and further develop our ideas and actions). The annual meeting will be loosely structured into thirds as follows (thanks Kim, for this idea!) (with a final and more detailed agenda sent ahead of our meeting time). CALS general board meeting, May 15 and 16th draft agenda 9 am to 4.30 each day, Central Time. Hybrid format, hosted in Winnipeg, Manitoba Zoom links and back up phone number in the attached agenda (you should have received the zoom invites already) May 15 (9 am to noon) Part 1. Continuation from last meeting. A series of conversations regarding annual membership fees (and member benefits), website functionality, policy and procedure manual. Creation of motions and voting on next steps. May 15 (1pm to 4.30pm) Part 2. Sub-committee reports and discussions. May 16 (9am to noon) Part 3. Vision, mission, values. May 16 (1pm to 4.30) Closing: Remaining discussion and motions. Note: Our Annual General Meeting is scheduled for June 5th at 10am Central. Please make every effort to attend. I’m writing to check in with folks about your plans to attend our May 15-16th CALS meeting. Our meeting will take place on the U of M campus. Please see the attached travel support guidelines for details. In sum, “direct expenses associated only with transportation and up to two nights accommodation” will be provided only to “Board members who do not have adequate access to any other source of travel support from their institutions and/or grants.” Funds requested to attend the CALS meeting should be requested in advance (i.e., indication of your plans to attend would qualify). While CALS encourages board members to seek alternate funding sources to facilitate their attendance first, CALS will reimburse the direct costs associated with attending in person. Hi everyone, As a board, we will meet three times per year, with one of these days a full day, as well attend the Annual General Meeting (AGM) of CALS (to be held in June, date and time TBD). See attached for an agenda of our upcoming virtual board meeting on October 3rd, 11am to 1pm Central Time. Note that the zoom link has been distributed (please accept the calendar invite and let me know if you did not receive it). I am also attaching two other documents related to decisions that we need to make at our upcoming meeting. Read these over prior to our meeting because I will be asking you for your input and then for your vote. I have reread the minutes from the previous board (2020 to 2023) as well as the attached membership priority survey (Vinu Best practices presentation to CALS May 6 2019.pdf). Priorities for the membership at this time included making the CALS website more usable (e.g., being able to purchase memberships online, having tabs for events, calls for papers, and past conferences, integrated social media), developing a mission statement, and a desire to work with other organizations. These priorities can guide our decision making. At our meeting, we need to: 1) Decide which subcommittees to create/sustain and who will sit on each (each director to typically sits on at least one subcommittee) 2) Decide if we hire an RA to work on the website ($14, 000 or other amount?) 3) Decide if our May day-long board meeting is person or virtual 4) Decide if we purchase nonprofit board member insurance 5) Decide on finance training for nonprofit board members 6) Give feedback on a statement of CALS research support 7) Feedback on ‘our story’, related to the mission statement More details related to the above decisions and tasks are in the attached documents. Hi folks Thank you for your work to ‘save the date’ in preparation for our board meetings. We are a large and national group of people, and it can be really difficult to find time to gather together. Here are the dates and times for our upcoming board meetings: October 3 (11am to 1pm Central time, virtual, zoom link to follow) March 4th (9am to 11am Central time, virtual, zoom link to follow) Annual board meeting, May 15th (9am to 5pm; Winnipeg, MB) Onboarding note: The CALS board does not currently have specific onboarding materials or a collection of board-related files in a single location (or a web-based location to store and share files), and this is one of the tasks I am working on. One announcement: because we did not have members who were able to act as hosts, CALS will not be attending Congress of the Social Sciences and Humanities at McGill in 2024. We can deliberate our attendance at Congress 2025 once the location is announced.
