Hello DH3 Here is the information you need for the January 16th, 3-5 PM interprofessional education (IPE) session embedded in your curriculum. IPE aims to enable students to learn with, from, and about each other professionally to better health and healthcare outcomes. Participating programs in the Jan 16th session are pharmacy, physiotherapy, physician assistant, midwifery, dentistry, and dental hygiene. We have tried to place you in the same IPE teams as per the last three sessions (Sept 2024/Jan 2025 and Sept 2025). The Jan 16th session takes place in the Apotex (Pharmacy) building and the Dentistry Clinic. All teams initially meet at 3 PM in the assigned room in Apotex. All teams do go to the dental clinic, but just at different times. There are two IPE activities planned for the 16th. IPE facilitators will be available to support the teams' discussions and demonstration: * Case presentation: This activity takes place in Apotex. * You will hear from a survivor of stage 4 oropharyngeal cancer, a head and neck cancer. Dr. V. Mutalik, an oral pathologist will share several cases of head and neck cancer which she has been involved with along with other healthcare providers. Importantly, when we collaborate along the continuum of care from enhancing healthy literacy, early identification and prompt intervention, and treatment/management, we as healthcare providers can make a difference. * Although we situated the context of this IPE session around head and neck cancer, please know that there are many health conditions which require us to collaborate. Further, whether you find your practice within a community setting, a private clinic, a primary care facility, or hospital, etc., as healthcare professionals we are asked to collaborate to better healthcare outcomes. * Based on the cases, in your IPE teams, you will discuss the role/responsibilities all healthcare professionals have in 'if you see something, say something', as well as in reaching out to each other via consultation/referral, etc., and sometimes even navigating the challenges of disagreement. * Extra- and intra-oral examination demonstration: This activity takes place in the Dr. Gerald Niznick College of Dentistry Dental Clinic. * Dentistry and dental hygiene students will demonstrate for the team an extra- and intraoral examination. So often, we hear from patients that they have not had such an examination done before, despite seeing their oral health professional. This is very concerning, given that it is part of the routine examination done by the oral health professions. You will be invited to try and do the examination. We have 25 IPE teams participating in the session divided into two waves. While one-wave is participating in the case presentation, the other wave will be participating in the extra- and intra-oral examination demonstration. We have titled the Jan 16th session "See something, say something, do something--collaborate", that when we think beyond the silos of our respective practices, we promote better healthcare outcomes and we serve as health-promoting resources for our patients. It is an inaugural IPE session, and we appreciate your feedback which will take place during the team debrief at the end of the session. Arrive ready to begin the session at 3PM. What to do if a patient cancels a planned re-evaluation

Good morning DH3, I have received some clarification on what to do if a patient who is planned for a re-evaluation cancels that re-evaluation and declines to rebook. When this happens, please discuss with the patient on the phone what your recommended recall frequency would be and determine if that is agreeable to them or if they choose a different recall. Then, please document in the EHR that the patient chose not to complete the re-evaluation so the DHCP goals were not evaluated. Indicate what your recall recommendation is and if the patient chose something different. You can indicate somewhere in the DHCP (perhaps in the recommendations section at the bottom), that the evaluation wasn't completed as the patient canceled the appointment and declined to rebook. The note, DHCP, and chart checklist will then need to be swiped by an instructor. The perio package code will also need to be completed and the patient's desired recall entered. If you have questions about this, we can discuss next week during Clinic Forum. Hello Dent 2 and DH 3, We are excited about the January 16th, 3-5 PM interprofessional education (IPE) session embedded in your respective curricula. It takes place in the Apotex (Pharmacy) building and Dentistry Clinic. Participating programs are pharmacy, physiotherapy, physician assistant, midwifery, dentistry, and dental hygiene. You will be placed in the same IPE teams as per the last three sessions (Sept 2024/Jan 2025 and Sept 2025)—at least we will do our best to keep the same team member composition. IPE aims to enable students to learn with, from, and about each other professionally to better health and healthcare outcomes. On Jan 16th, your teammates will look to you as the session is on the value of interprofessional collaboration through the lens of oral cancer. Importantly, all healthcare professions have a role to play in helping with early identification of cancer (in this case, oral cancer) and prompt intervention. For you, we are building on the August 18th, 2025 session involving Dentistry and Dental Hygiene students. During that session, you heard from Jennifer Cicci, a survivor of oral pharyngeal cancer, and from Dr. Vimi Mutalik, an oral pathologist. Both of them are part of the January 16th session. There are two activities planned for the 16th: * Case presentation: You and your IPE teammates will hear a brief recording from Jennifer on the value of interprofessional collaboration. Then Dr. Mutalik will share a few cases. Based on the cases, in your IPE teams, you will discuss the role/responsibilities all healthcare professionals have in 'if you see something, say something', as well as in reaching out to each other via consultation/referral, etc., and sometimes even navigating the challenges of disagreement. This activity takes place in Apotex. * Extra- and intra-oral examination demonstration: This activity takes place in the Dental Clinic. You will take the lead in this demonstration. You know how to do an extra- and intraoral examination and will demonstrate the examination on one of your teammates, preferably a dental or dental hygiene teammate. Once demonstrated, you will invite your other teammates to try doing one as well. The intent is twofold: * So often, we hear from patients that they have not had such an examination done before, despite seeing their oral health professional. This is very concerning, given that it is part of the examination done by the oral health professions. Thus, your fellow IPE teammates will know 'to know' to ensure the examination takes place during their own oral healthcare visit. Further, they will be a health literacy resource for their patients on what to expect during such an examination. Basically, we are spreading the word/experience to future healthcare professionals. Oral cancer often goes undiagnosed until later stages. It is our responsibility to do the examination as part of the overall oral healthcare appointment. Our colleagues are a resource for patients in ensuring this care. As Jennifer emphasizes, it takes a village. * All healthcare professionals view health from an overall health perspective. Oral health is part of the overall perspective. The experience will enhance your IPE teammates' awareness of this through the hands-on activity. There will be 4-5 IPE DH facilitators in the dental clinic to help you. There are 30 IPE teams, so 26 teams will have both a dental and dental hygiene student. Between the two of you, decide who will sit for the demonstration and who will do the demonstration. Both are skilled in doing the demonstration. If your team does not have both a dental and dental hygiene student, then invite another teammate to sit for the demonstration. Wear appropriate PPE. When you do it, state out loud what you are doing, the anatomical area, etc. Encourage questions/discussions as you do the demonstration. After the demonstration, invite your teammates to don PPE and try doing the extra oral examination only (with appropriate PPE). Clinical UPDATE - January 2026

All Students, Welcome back, I hope you all had a great holiday and enjoyed a bit of a break from the college. As we get back into clinic, I would implore you all to refresh your mind on clinic protocols and remember the requirements for the pre-clinical and senior labs to be kept clean. Points to remember as we go into the next term: 1. Insurance pre-authorizations: * You must know the eligibility criteria set out by CDCP, prior to sending a pre-authorization request to your PCC. * Requesting pre-authorizations for patients who do not meet the criteria causes delay in treatment and increases the timeline of all submissions.View Criteria here: https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.ht… * Pre-authorization submissions MUST include if the Crown/Denture is an initial placement. If not initial, you must indicate approximately how many years ago the existing was placed. You must provide this information to your PCC/Insurance Coordinator to avoid delaying your pre-authorization. * If you have been notified by a PCC/Insurance Coordinator of any missing information required for pre-authorization, update the PCC/Insurance Coordinator once that information has been obtained (ie: perio chart, x-ray etc) to ensure your pre-authorization is submitted in a timely manner. 2. Axium * Ensure you check your patient in and out. This is not only needed so everyone in the clinic and front desk are aware of patient flow and activity but also for safety reasons incase of a fire or emergency. * You must have a procedure code swiped for each patient's visit. It may take a number of sessions to complete a single procedure code so you are either in processing the same parent code at each appointment until treatment is completed or you are in processing/completing the step codes as appropriate. * Pay attention to the codes and information you are entering into axium. Patient records are legal documents and as such must accurately reflect the treatment provided at each session. * Having gone thru your mini clearance you can hopefully appreciate that keeping your patient documents accurate and up to date makes sense. 3. Hygiene Recall Rotation * For patients who have completed all planned dental care and are assigned to a hygiene student only, ensure these patients have a current (within 12 mos.) recall exam. This can be completed in the hygiene chair by the hygiene recall D4 student. D4 students need to ensure they input a recall exam code into the patient's chart and progress notes. * Remember to send out a general referral for undergrad student assignment and to have the interprofessional note completed at the session. 4. OHAF * For those students who have patients that have been assigned to them from the OHAF outreach program ensure that you contact these patient's immediately to schedule a treatment plan and start on treatment. * OHAF funding ends on 31 March 2026. What does this mean: * CDCP covered patients - any treatment that was pre-authorized by BOTH CDCP and OHAF funding BEFORE 31 March 2026 should be covered * Non CDCP patients - patients who DO NOT have CDCP coverage and were funded for dental treatment by OHAF funding only will NOT be covered for ANY treatment beyond 31 March 2026. All treatment covered by OHAF only patients MUST be completed by 31 March 2026, or it WILL NOT be covered. 5. Screening Patients * Some patients are referred to us from private practice offices. These referrals are for select procedures such as single implants, endo, crowns, and dentures. Sometimes we need to do a "limited" screening for these patients to determine if the referred treatment is within our students' appropriate learning level. This will be booked in the screening chair and will be labelled "LTD TX". * Do NOT do a comprehensive screening for these patients. When we have a limited referral from private practice, we only want to ensure that we are able to complete the specific care referred to us; we do not want to take over the comprehensive care for the patient. You can appreciate that we will lose out on private practice offices referring limited care to the college clinic if we proceed to take over the patient comprehensively. 6. Pediatric Patients * If there is a need to contact a parent/guardian of a pediatric patient, this must be coordinated through the Pediatric PCC at the front desk. Students should not use their personal means of communication to contact parents/guardians of the Pediatric Program Patients. 7. D3 Scanning Rotation * students must use the Emerald S scanners even if the Primescan is functioning. 8. Treatment Plans * If a procedure code is changed you must update the treatment plan. Copy and paste the entire treatment plan, make the corrections and then deactivate the old treatment plan. 9. IPAC * This is not something that you can forget at any point in your career. Make sure you are flushing your lines, washing your hands at all key points, and following all IPAC protocols. Breaches may result in loss of clinic privileges. Take care and have a great 2026.
