Dear D1 and D2 Students, A new Dental Stores D1 and D2 Order Request process is now in place for the 2026-2027 academic year. Effective immediately, D1 and D2 students are no longer permitted to request items through drop-in visits to Dental Stores. All requests must be submitted using the appropriate Dental Stores Request Form. Request Due Date Students must enter their individual requests on the appropriate D1/D2 Dental Stores Request Sheet by 4:00 p.m. every Tuesday. Requests submitted after this deadline will not be accepted or filled. 2. Credits Students are responsible for tracking their available credits. Dental Stores will apply available credits first, with any additional charges applied to the student's axiUm account. 3. Class Box One student from each class is responsible for: * Picking up the Dental Stores Request Box on Friday by 11:55 a.m. * Returning it to Dental Stores by Tuesday at 4:00 p.m. Please note: * If the Request Box and/or associated folders and envelopes are not returned by 4:00 p.m., no orders will be processed for that class during that week. 4. Broken Instruments If you require a replacement instrument: * Place the broken instrument in your individual envelope. * A replacement instrument will be issued, and your axiUm account will be charged accordingly. * Students must remove their identification-colored rings from the broken instrument and transfer them to the replacement instrument. Additional information: * If an instrument breaks during a preclinical lab, please borrow an instrument from a D1 or D2 student. * If an instrument breaks during a practical exam, please contact your Course Coordinator. 5. Carbide Burs Once your bur credits have been used: * Carbide burs must be purchased in bundles. * Students may choose different bur types within the bundle. Example: If you require three (3) 556 burs, please specify which additional two (2) burs you would like included in the bundle. 6. Diamond Burs Diamond burs may be purchased individually. 7. Teeth Exchanges Teeth may be exchanged if they are: * Intact * Free of bur damage Please indicate on the Order Form: Item Returned: Returning 10 intact teeth Exchanging For: 4 × Tooth #46, 4 × Tooth #36, 2 × Tooth #14 8. Exceptional Requests Exceptional requests must be submitted directly to Dental Stores via email: 📧 DentStores(a)umanitoba.ca 9. Bur Exchange (Class-Wide) Classes wishing to exchange burs may do so at the beginning of Term II using the following process: * Sort similar burs into separate ziplock bags. * Label each bag with the total quantity. Example: * All 556 burs in one bag with the total quantity identified. * All 245 burs in another bag with the total quantity identified. The Class Representative must: * Provide Dental Stores with the quantities being returned. * Submit the quantities and types of burs requested in exchange. Exchanged burs will be returned to the Class Representative, who will be responsible for distributing them to students. 10. Equipment Repairs If you require equipment repairs, please email Nik (Equipment Repair Technician) and copy Dental Stores: 📧 DENTEQUIPTECH(a)umanitoba.ca Items requiring repair will only be accepted by Dental Stores after a repair request email has been submitted and acknowledged by Nik. 11. Pricing Requests Dental Stores staff will not provide special pricing quotations for dental items. As of now, unless there is a major change to the schedule, I will not be updating these documents, but making changes in UM Learn. Please ensure that you are checking the UM Learn schedule for changes. Note that not all sessions have been confirmed and so there is the possibility of changes to the schedule. If it is a major change, I will let you know before the date, otherwise, small changes will be made in UM Learn. The Office of Professionalism at the Rady Faculty of Health Sciences have set up a pizza lunch information session (Aug 19) to review some Rady Faculty policy updates regarding the Professional Unsuitability By-Law and revisions to the Prevention of Learner Mistreatment policy (this is not a required orientation). Ever thought of Uno as more than just a quick card game? What if I told you that Uno Online could actually be a fantastic training ground for understanding the fundamentals of store management – albeit a very abstract and competitive one? Hello, Please see the announcement below, which I am forwarding to you on behalf of Lisa Mendez, the Collaborative Health Care Practice Lead with the Office of Interprofessional Collaboration. It is a follow-up to the October 7th, 2026, announcement of this opportunity. Some of the opportunities are full, but there is still an opportunity to join other ones; hence, the application date remains open. In the past, dental and dental hygiene students have participated in the Ndinawemaaganag Summer Opportunities. You join students from across the RFHS to participate in community-led initiatives/activities with rural and remote Indigenous communities. There are several opportunities spread throughout June-August. This meaning speaks to the connections the students make with the community, each other, and the land and guides the interprofessional and social accountability opportunities within this program for Rady Faculty of Health Sciences. The experiences are all directed by the community partners to provide opportunities for students to learn about their community, its people, and health and well-being. Some of the experiences are anchored in a Sundance ceremony, while others include opportunities to spend time in their nursing stations and health centres. All experiences include land based experiences. Some experiences involve camping with the community while in others, students will stay in cabins on the water (and in some you'll do both!). All communities have road access, however in some scenarios students may fly. All expenses (travel, food, accommodations, ceremonial contributions etc) are covered by the RBC Experiential Learning Travel Fund. Students will be in community for the Indigenous Peoples day. Accommodations are a cabin on the water. Priority will be given to students who can attend for 2 weeks, however one week options may be available to accommodate clinical/academic schedules. Grand Rapids: CURRENTLY FULL Students will have a wholistic opportunity to learn about the community and health and well-being. Students will spend the first week at the nursing station and with the community health programs. The weekend will spent at the Shallow Bay sundance. Week two is scheduled based on opportunities available and student preference (may involve the nursing station, a land based camp, treaty days etc). Accommodations are a cabin on the water during the week and camping on the weekend. Priority will be given to students who can attend for 2 weeks, however one week options may be available. Norway House Cree Nation: June 15-26, 2026 Grand Rapids: July 6-17, 2026 Why is this being offered? The RFHS is committed to offering interprofessional education to enhance the provision of integrated care, and is dedicated to actively building and enhancing partnerships to contribute to the communities it serves, including Indigenous Health partnerships, for collaborative care. What costs will be covered? Costs for students' travel, food and accommodations will be covered by the RBC Health Sciences Student Travel Initiative. What is the deadline to apply? The first deadline to apply will be Monday April 6th at which point Lisa will begin confirming matches. The application will continue to stay open as long as spaces remain for students. Where will students stay? How will they get there? Depending on the experience, students will either stay in the professional accommodations at the health centre, a hotel, or a cabin in the area. If attending a sundance it is likely you will camp with the community. Camping equipment is available if needed. Students will either fly or drive to the experience; carpooling will occur where possible. Will students receive credit for this experience? In most cases these experiences do not contribute to a specific course. For UGME students, the experience is approved as an "Early Exposure" if the hour requirement is met. Who can apply? With each ceremony done, there were many lessons to be learned, but one important lesson was how well the non-pharmacological intervention assisted the Indigenous people in healing and coping with their grief. These ceremonies were beautiful and moving, and I felt honored to be a part of them. The value of such spiritual practice was clear to me and helped show me that there is a great need for our society to support people to look after their own and their community's spiritual wellbeing. This weekend was one of the most memorable experiences I have had throughout my time at the Rady Faculty of Health Sciences. There were many powerful learnings that I would have never experienced inside a classroom nor reading through books. It was evident to me that a sense of belonging in community, language, culture and traditions have a huge role to play in healing. If you are considering this experience but are on the fence, just go for it... this experience has been one of the most valuable to me as a person and professional, as it has given me insight into Indigenous culture, health care in the North, and interprofessional practice that I could not have gotten anywhere else. Tomorrow's competency

Just to be sure we are all on the same page. You will be prepping one stainless steel crown on 85. We will be providing the tooth. Come prepared to remove the existing tooth and place a new one. The expectation is that you will prep the tooth with rubber dam. Once prepped you will bring your dentoform to the front to select a crown. You will not be given assistance to select a crown. It’s your choice what size you wish to use. Then take the dentoform back to your station, remount it in the head and fit your crown. When you have finished you will put your dentoform with the crown on the tooth and a piece of paper with your name and number in the dentoform box. You will leave that with the instructor. We will mark the crowns over the next few days and will return marks to everyone before the final exam. There will not be any feedback during the test. There are no points during the test that require a check. Because the crown can be removed we are able to check the prep and the fit at the same time. Once you have handed in your dentoform you are free to leave. If you wish to stay and work on other projects you may but you must work quietly and in such a way as not to disturb the other students who are still working. You will have until 3:00 to complete your crown. My expectation is that it will take you much less than that time to complete. To all students, 1. OHAF update - the OHAF grant has been extended. What does this mean? * Any OHAF application that HAS BEEN APPROVED - you have until the end of this academic year to complete treatment - you do not need to have treatment completed by 31 March as was the case before the grant extension. You have until the end of this academic year (May 2026). * BUT - We have NOT been given any more funding, so OHAF applications that have not been approved to date will still NOT be approved. If you have submitted and OHAF application and it has NOT BEEN APPROVED I would recommend that you speak with the applicable course coordinator to see if other funding opportunities might be possible (endowment funds). 2. As we get closer to the end of the academic year be reminded that it is the student's responsibility to follow up with their patients regarding any outstanding balances on the patient account. 3. We will continue to screen patients. When the front desk is booking the screening appointments they are letting the potential patients know that they will not be assigned to a dental/dental hygiene student until the fall and thus if they have a dental emergency they must seek treatment in a private practice office until they are assigned to a student in the fall 2026. Hi guys. I hope you all are doing great. In relation to the extracted teeth, you will need to collect 1st mandibular or 1st maxillary molars. Second max/mand molars might be considered if they have at least 3 canals. You will need one molar, however it is better to have more than one just in case.......More options more possibilities to choose an easy tooth to perform a root canal treatment. As it was discussed last week, the teeth will be collected on March 25th. The extracted teeth used in this course should have a relatively intact clinical crown (the tooth may be previously restored) and completely formed apex. Usually, there is time to mount the teeth and take radiographs on the last lab day (April 8th). However, it is variable depending on each one's progress. Therefore, if you prefer to take x-rays before that day to choose the best tooth is totally fine. If you already have some extracted molars, store them in a water/bleach solution (5:1 water:bleach). However, please allow the teeth to dry at room temperature 24-48 hrs before the day of collecting. In other words, let the teeth dry by March 23-24. This is because you must label your teeth according to the number in the attached list (use a fine-tipped marker). E.g: If Emma (# 17 in the list) collects 4 teeth, so there should be 4 teeth labeled with # 17. All the teeth will be in the same flask, so labeling them is the only way to recognize them. Dental and Dental Hygiene Students, OHAF Update 1. Approved OHAF funding * OHAF patient funding that has ALREADY been approved can proceed. * For procedure codes that are currently approved any minor changes such as 25 DO restoration changes to 25 MOD, or NPP3 becomes an NPP4 these changes can proceed without having to be reapproved. 2. Unapproved OHAF funding * Any treatment funding requests that have not already been approved WILL NOT be approved. * If the treatment you are asking to be funded is required to meet a course requirement, please send me an email explaining your situation. I will review your request with the course coordinator and the PCCs to determine what options are available. 3. Lab codes need to be swiped to Complete on the date of delivery. * If you accidentally have the Lab code swiped Complete ahead of the delivery, submit a Correction Card ASAP. The code will be set back to In process and available for you to swipe as Complete at the delivery appointment. 4. Reception/PCCs do not make any edits to patient charts. This must be done by the provider ahead of the delivery appointment. 5. D4 Hygiene Rotation – Recall Exam Codes are not being swiped during the D4 Recall rotation. Ensure that you are completing all forms including the recall or CTP codes. * You can leave the treatment plan swiped by the instructor and not signed by the patient. * When the patient is assigned to a dental student, that new dental student must review and confirm they agree with the treatment plan and at then either have the patient accept and sign the original treatment plan or create a new treatment plan if it needs to be modified. 1. Swipes before checking out at reception – all dental and dental hygiene students must enter a treatment code and treatment notes for each clinical session. You can in-process treatment codes multiple times. Please let your instructors know that they must swipe the procedure code BEFORE you dismiss your patient. 2. Send an email to request co-assignment/transfer between years to your course coordinator with PCC and classmate cc’d to email. Include details of the transfer. For D3 and D4 students, include Dr. Reeve in your email request. 3. Grade Card/Evaluation Forms – Confirm you are being graded for the proper Discipline and on the correct Grade Form to ensure accurate grades. Dental hygiene and dental students, The good news is that you have all been doing a great job at using the OHAF funds to support patient care and your learning. You are making a tremendous impact on the oral health of many people within our community that otherwise would not have received care. We are now at a point where the OHAF fund is depleting rapidly, and I am no longer able to approve any further OHAF patient funding requests until we have more information. I have overcommitted the OHAF funds with the expectation that not all of the treatment would ultimately be completed. We now need to know what treatment that has been approved will not be moving forward so that we can have a clearer financial view of what monies we have remaining until 31 March. Hello We are trialing an escape room on Wednesday, Feb 25th, 5:30-6:30 PM and hope to have 20 RFHS students join us. Students would be placed in interprofessional teams for the escape room. The escape room, we anticipate, will take about 30 minutes. The teams would then participate in a facilitated debrief immediately following the escape room. Pizza will be served. This meaning speaks to the connections the students make with the community, each other, and the land and guides the interprofessional and social accountability opportunities within this program for Rady Faculty of Health Sciences. The experiences are all directed by the community partners to provide opportunities for students to learn about their community, its people, and health and well-being. Some of the experiences are anchored in a Sundance ceremony, while others include opportunities to spend time in their nursing stations and health centres. All experiences include land based experiences. Some experiences involve camping with the community while in others, students will stay in cabins on the water (and in some you'll do both!). All communities have road access, however in some scenarios students may fly. All expenses (travel, food, accommodations, ceremonial contributions etc) are covered by the RBC Experiential Learning Travel Fund. Sundances:<https://news.umanitoba.ca/sundances-offer-students-crash-course-in-culture/> For the various sundances, we play important helper roles (picking/preparing medicines, cutting trees, building the lodge, helping the kitchen staff with communal meals, assisting with cleanup). Ideally students will be available from early Friday morning to help build with lodge and then Saturday and Sunday to support/observe/participate in other ceremonies within the sundance. * Blacksmith Sundance (Spruce Woods): June 11-14, 2026 * Opaskwayak Sundance (OCN/The Pas): July 2-5, 2026 * Shallow Bay Sundance (Grand Rapids): July 9-12, 2026 * York Landing Sundance (York Landing) August 6-9, 2026 * Sakitowin Sundance (Cross Lake/Pimicikamak): August 20-23, 2026 * Two Spirit Sundance (Near Portage): To be confirmed Longer community experiences: There are communities offering one or two-week opportunities: Norway House: Students will have a wholistic opportunity to learn about the community and health and well-being. Students will spend time in the newly built Health Centre of Excellence, in community programing, and in land-based experiences. Expect to spend time on and around the water and to be in ceremony. Students will be in community for the Indigenous Peoples day. Accommodations are a cabin on the water. Priority will be given to students who can attend for 2 weeks, however one week options may be available to accommodate clinical/academic schedules. Grand Rapids: Students will have a wholistic opportunity to learn about the community and health and well-being. Students will spend the first week at the nursing station and with the community health programs. The weekend will spent at the Shallow Bay sundance. Week two is scheduled based on opportunities available and student preference (may involve the nursing station, a land based camp, treaty days etc). Accommodations are a cabin on the water during the week and camping on the weekend. Priority will be given to students who can attend for 2 weeks, however one week options may be available. Tobacco camp (SERDC)<https://serdc.mb.ca/health/commercial-tobacco-reduction-strategy> in the Whiteshell: Students will be helpers at a camp for youth where the focus is to provide smoking cessation strategies, teachings re: traditional uses of tobacco/cultural practices, and harm reduction/health promotion strategies. Youth come from the communities in the South East Region to Brereton Lake in the Whiteshell; students will stay in cabins. Norway House Cree Nation: June 15-26, 2026 Grand Rapids: July 6-17, 2026 Tobacco Camp: August 10-14, 2026 (anticipated, not yet confirmed) Why is this being offered? The RFHS is committed to offering interprofessional education to enhance the provision of integrated care, and is dedicated to actively building and enhancing partnerships to contribute to the communities it serves, including Indigenous Health partnerships, for collaborative care. What costs will be covered? Costs for students' travel, food and accommodations will be covered by the RBC Health Sciences Student Travel Initiative. What is the deadline to apply? The first deadline to apply will be Monday April 6th at which point Lisa will begin confirming matches. The application will continue to stay open as long as spaces remain for students. Where will students stay? How will they get there? Depending on the experience, students will either stay in the professional accommodations at the health centre, a hotel, or a cabin in the area. If attending a sundance it is likely you will camp with the community. Camping equipment is available if needed. Students will either fly or drive to the experience; carpooling will occur where possible. Will students receive credit for this experience? In most cases these experiences do not contribute to a specific course. For UGME students, the experience is approved as an "Early Exposure" if the hour requirement is met. Who can apply? Students enrolled in the health profession programs in any of the five Colleges of the RFHS who have completed at least one term of their program are eligible are prioritized. With each ceremony done, there were many lessons to be learned, but one important lesson was how well the non-pharmacological intervention assisted the Indigenous people in healing and coping with their grief. These ceremonies were beautiful and moving, and I felt honored to be a part of them. The value of such spiritual practice was clear to me and helped show me that there is a great need for our society to support people to look after their own and their community's spiritual wellbeing. This weekend was one of the most memorable experiences I have had throughout my time at the Rady Faculty of Health Sciences. There were many powerful learnings that I would have never experienced inside a classroom nor reading through books. It was evident to me that a sense of belonging in community, language, culture and traditions have a huge role to play in healing. If you are considering this experience but are on the fence, just go for it... this experience has been one of the most valuable to me as a person and professional, as it has given me insight into Indigenous culture, health care in the North, and interprofessional practice that I could not have gotten anywhere else. Jan 16, 3-5 PM IPE team and room assignment

Hello Dent 2, Here is the information you need for the January 16th, 3-5 PM interprofessional education (IPE) session embedded in your curriculum. IPE aims to enable students to learn with, from, and about each other professionally to better health and healthcare outcomes. Participating programs in the Jan 16th session are pharmacy, physiotherapy, physician assistant, midwifery, dentistry, and dental hygiene. We have tried to place you in the same IPE teams as per the last three sessions (Sept 2024/Jan 2025 and Sept 2025). The Jan 16th session takes place in the Apotex (Pharmacy) building and the Dentistry Clinic. All teams initially meet at 3 PM in the assigned room in Apotex. All teams do go to the dental clinic, but just at different times. There are two IPE activities planned for the 16th. IPE facilitators will be available to support the teams' discussions and demonstration: * Case presentation: This activity takes place in Apotex. * You will hear from a survivor of stage 4 oropharyngeal cancer, a head and neck cancer. Dr. V. Mutalik, an oral pathologist will share several cases of head and neck cancer which she has been involved with along with other healthcare providers. Importantly, when we collaborate along the continuum of care from enhancing healthy literacy, early identification and prompt intervention, and treatment/management, we as healthcare providers can make a difference. * Although we situated the context of this IPE session around head and neck cancer, please know that there are many health conditions which require us to collaborate. Further, whether you find your practice within a community setting, a private clinic, a primary care facility, or hospital, etc., as healthcare professionals we are asked to collaborate to better healthcare outcomes. * Based on the cases, in your IPE teams, you will discuss the role/responsibilities all healthcare professionals have in 'if you see something, say something', as well as in reaching out to each other via consultation/referral, etc., and sometimes even navigating the challenges of disagreement. * Extra- and intra-oral examination demonstration: This activity takes place in the Dr. Gerald Niznick College of Dentistry Dental Clinic. * Dentistry and dental hygiene students will demonstrate for the team an extra- and intraoral examination. So often, we hear from patients that they have not had such an examination done before, despite seeing their oral health professional. This is very concerning, given that it is part of the routine examination done by the oral health professions. You will be invited to try and do the examination. We have 25 IPE teams participating in the session divided into two waves. While one-wave is participating in the case presentation, the other wave will be participating in the extra- and intra-oral examination demonstration. Jan 16th, 3-5 PM IPE Mandatory Session--Your role

Hello Dent 2 and DH 3, We are excited about the January 16th, 3-5 PM interprofessional education (IPE) session embedded in your respective curricula. It takes place in the Apotex (Pharmacy) building and Dentistry Clinic. Participating programs are pharmacy, physiotherapy, physician assistant, midwifery, dentistry, and dental hygiene. You will be placed in the same IPE teams as per the last three sessions (Sept 2024/Jan 2025 and Sept 2025)—at least we will do our best to keep the same team member composition. IPE aims to enable students to learn with, from, and about each other professionally to better health and healthcare outcomes. On Jan 16th, your teammates will look to you as the session is on the value of interprofessional collaboration through the lens of oral cancer. Importantly, all healthcare professions have a role to play in helping with early identification of cancer (in this case, oral cancer) and prompt intervention. For you, we are building on the August 18th, 2025 session involving Dentistry and Dental Hygiene students. During that session, you heard from Jennifer Cicci, a survivor of oral pharyngeal cancer, and from Dr. Vimi Mutalik, an oral pathologist. Both of them are part of the January 16th session. There are two activities planned for the 16th: * Case presentation: You and your IPE teammates will hear a brief recording from Jennifer on the value of interprofessional collaboration. Then Dr. Mutalik will share a few cases. Based on the cases, in your IPE teams, you will discuss the role/responsibilities all healthcare professionals have in 'if you see something, say something', as well as in reaching out to each other via consultation/referral, etc., and sometimes even navigating the challenges of disagreement. This activity takes place in Apotex. * Extra- and intra-oral examination demonstration: This activity takes place in the Dental Clinic. You will take the lead in this demonstration. You know how to do an extra- and intraoral examination and will demonstrate the examination on one of your teammates, preferably a dental or dental hygiene teammate. Once demonstrated, you will invite your other teammates to try doing one as well. The intent is twofold: * So often, we hear from patients that they have not had such an examination done before, despite seeing their oral health professional. This is very concerning, given that it is part of the examination done by the oral health professions. Thus, your fellow IPE teammates will know 'to know' to ensure the examination takes place during their own oral healthcare visit. Further, they will be a health literacy resource for their patients on what to expect during such an examination. Basically, we are spreading the word/experience to future healthcare professionals. Oral cancer often goes undiagnosed until later stages. It is our responsibility to do the examination as part of the overall oral healthcare appointment. Our colleagues are a resource for patients in ensuring this care. As Jennifer emphasizes, it takes a village. * All healthcare professionals view health from an overall health perspective. Oral health is part of the overall perspective. The experience will enhance your IPE teammates' awareness of this through the hands-on activity. There will be 4-5 IPE DH facilitators in the dental clinic to help you. There are 30 IPE teams, so 26 teams will have both a dental and dental hygiene student. Between the two of you, decide who will sit for the demonstration and who will do the demonstration. Both are skilled in doing the demonstration. If your team does not have both a dental and dental hygiene student, then invite another teammate to sit for the demonstration. Wear appropriate PPE. When you do it, state out loud what you are doing, the anatomical area, etc. Encourage questions/discussions as you do the demonstration. After the demonstration, invite your teammates to don PPE and try doing the extra oral examination only (with appropriate PPE). Please watch for an email early next week on room assignment in the Apotex building. The session begins in Apotex. Let me know if you have any questions. Clinical UPDATE - January 2026

All Students, Welcome back, I hope you all had a great holiday and enjoyed a bit of a break from the college. As we get back into clinic, I would implore you all to refresh your mind on clinic protocols and remember the requirements for the pre-clinical and senior labs to be kept clean. Points to remember as we go into the next term: 1. Insurance pre-authorizations: * You must know the eligibility criteria set out by CDCP, prior to sending a pre-authorization request to your PCC. * Requesting pre-authorizations for patients who do not meet the criteria causes delay in treatment and increases the timeline of all submissions.View Criteria here: https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.ht… * Pre-authorization submissions MUST include if the Crown/Denture is an initial placement. If not initial, you must indicate approximately how many years ago the existing was placed. You must provide this information to your PCC/Insurance Coordinator to avoid delaying your pre-authorization. * If you have been notified by a PCC/Insurance Coordinator of any missing information required for pre-authorization, update the PCC/Insurance Coordinator once that information has been obtained (ie: perio chart, x-ray etc) to ensure your pre-authorization is submitted in a timely manner. 2. Axium * Ensure you check your patient in and out. This is not only needed so everyone in the clinic and front desk are aware of patient flow and activity but also for safety reasons incase of a fire or emergency. * You must have a procedure code swiped for each patient's visit. It may take a number of sessions to complete a single procedure code so you are either in processing the same parent code at each appointment until treatment is completed or you are in processing/completing the step codes as appropriate. * Pay attention to the codes and information you are entering into axium. Patient records are legal documents and as such must accurately reflect the treatment provided at each session. * Having gone thru your mini clearance you can hopefully appreciate that keeping your patient documents accurate and up to date makes sense. 3. Hygiene Recall Rotation * For patients who have completed all planned dental care and are assigned to a hygiene student only, ensure these patients have a current (within 12 mos.) recall exam. This can be completed in the hygiene chair by the hygiene recall D4 student. D4 students need to ensure they input a recall exam code into the patient's chart and progress notes. * Remember to send out a general referral for undergrad student assignment and to have the interprofessional note completed at the session. 4. OHAF * For those students who have patients that have been assigned to them from the OHAF outreach program ensure that you contact these patient's immediately to schedule a treatment plan and start on treatment. * OHAF funding ends on 31 March 2026. What does this mean: * CDCP covered patients - any treatment that was pre-authorized by BOTH CDCP and OHAF funding BEFORE 31 March 2026 should be covered * Non CDCP patients - patients who DO NOT have CDCP coverage and were funded for dental treatment by OHAF funding only will NOT be covered for ANY treatment beyond 31 March 2026. All treatment covered by OHAF only patients MUST be completed by 31 March 2026, or it WILL NOT be covered. 5. Screening Patients * Some patients are referred to us from private practice offices. These referrals are for select procedures such as single implants, endo, crowns, and dentures. Sometimes we need to do a "limited" screening for these patients to determine if the referred treatment is within our students' appropriate learning level. This will be booked in the screening chair and will be labelled "LTD TX". * Do NOT do a comprehensive screening for these patients. When we have a limited referral from private practice, we only want to ensure that we are able to complete the specific care referred to us; we do not want to take over the comprehensive care for the patient. You can appreciate that we will lose out on private practice offices referring limited care to the college clinic if we proceed to take over the patient comprehensively. 6. Pediatric Patients * If there is a need to contact a parent/guardian of a pediatric patient, this must be coordinated through the Pediatric PCC at the front desk. Students should not use their personal means of communication to contact parents/guardians of the Pediatric Program Patients. 7. D3 Scanning Rotation * students must use the Emerald S scanners even if the Primescan is functioning. 8. Treatment Plans * If a procedure code is changed you must update the treatment plan. Copy and paste the entire treatment plan, make the corrections and then deactivate the old treatment plan. 9. IPAC * This is not something that you can forget at any point in your career. Make sure you are flushing your lines, washing your hands at all key points, and following all IPAC protocols. Breaches may result in loss of clinic privileges. Take care and have a great 2026. Note winter term courses will be available in UM Learn as of January 5th. If access to any fall courses disappears over the next few weeks, please let your instructor know and copy me and Dr. John Perry on the email. There are sometimes some behind the scenes processes that shut down UM Learn automatically and we will ensure that they are up and available for your exam period. After January 5th, please use your schedules in UM Learn as I will not be updating these Excel documents and/or re-circulating them. Axium * if you plan an incorrect treatment then you need to copy the treatment plan in its entirety, make the necessary edits/corrections, delete the old treatment plan and have it signed for by the patient. 2. Treatment codes can be In processed multiple times and are required to reflect each appointment date that the student continues with the treatment. At each clinical session you must enter a treatment code that reflects care that was provided for that session even if it is incompleted. 4. Treatment plan timings * Dental hygiene students should not be scheduling patients until a comprehensive treatment plan has been completed. Communicate with the assigned dental student to coordinate timings to ensure the treatment plan is completed before you schedule the patient for hygiene care. If this is not possible your options are to have the treatment plan completed by the D4 on Hygiene Recall with you or speak to the front desk PCCs and they will look at scheduling the patient for a treatment plan. 5. Radiology * Ensure you have completed the radiology request form and procedure codes for any planned radiographic images and have this approved before bringing your patient to radiology. All radiology requests must be approved by a dental instructor or for those on DH Recall, by the floor lead. * CBCTs will not be fee waivered if they are for diagnostic purposes. If a CBCT is required to help diagnosis or treatment plan it will not be fee waivered. A CBCT may be considered to be fee waived is if it is needed during endodontic therapy to assess ongoing treatment (determine if student has ledged/perforated, missed a canal). Please discuss the cost of CBCT imaging with your patient prior to imaging. * Generally, all CBCTs on the main clinic floor should be for endodontic purposes only. When working with the endodontist if it is felt that a CBCT is required then this will need to be discussed with the patient (fee vs. payment) and then discussed and approved by the floor lead. * If a CBCT has been completed for any reason the radiographic report must be completed with the endodontist first, then forwarded to Dr. Sunil Mutalik for overall review. Student Voicemail Set-Up

Hello Dent2 Students, I am happy to inform you that you have been assigned a student voice mailbox number. All the instructions are in the Student Clinic Manual, but I have also attached them to this email for quick reference. The last page of the instructions (page 4) is for you to sign & return to me by this Friday, November 14, 2025. I encourage all of you to set up your voicemail message & test it with a classmate to make sure everything is working before clinic starts. Use of the student voice mailbox messaging system is mandatory for all students at the Dr. Gerald Niznick College of Dentistry. This system is for patients to use to contact students. How to set-up your password & personal message: 1. Dial 204-474-6555, when the system answers hit * (you won’t be prompted for this) 2. Enter your 4-digit extension (your ID) followed by # 3. Then enter the automatic PIN (789123) followed by # 4. Cisco Unity will say your password has expired; you will be prompted to enter a new password (at least 6 digits). Trivial & repeat passwords such as 123456 or 987654 or 112233 are not allowed. Your password must be random. After you have successfully set-up your voicemail – please test it to make sure it is working properly. How to retrieve a voice message: 1. When a patient has left you a voice message, you will receive a notification on your cell phone. 2. Dial 204-474-6555 3. When the system answers – press 1(you won’t be prompted for this) 4. You will be asked to enter your ID & press # (your 4-digit voice mailbox number assigned to you) 5. Then you will be asked to enter your password & press # Instructions to give to patients on how to use the Student Voicemail System: 1. Undergraduate Lab Spaces

Students, During student orientation at the start of this academic year it was made clear to each of your classes that the Brass, Hart and wet lab areas are joint spaces used by dental and dental hygiene student groups and must be kept neat, clean and tidy at all times. After-hours access to lab spaces is a privilege not a right. Currently the college has supported the students' request to have these labs open after hours (10pm on Monday and 8pm Thurs-Fri). After hours and weekend access was negotiated to support student learning under the agreement that students would be mindful to keep the areas clean and neat. To note, most dental colleges do not allow after-hours lab access and if so, only with very reduced supervised hours. As you can see from the attached photos the wet lab (between Brass and Hart labs) has hit a new low on cleanliness. These photos were taken this afternoon, this is deplorable. Also, there was equipment that was left running and a hot glue gun that was left plugged in and heated. This is unacceptable and a building safety issue. The limit has been reached for having myself and your course coordinators reminding you of your responsibility to keep these spaces clean and tidy. Lab cleanliness includes * all counters clean and free of debris * the face of all cabinets free of debris * all equipment that is not in direct use is shut off * the model trimmer and basin are clean and free of debris * all plaster splash has been removed from the model vibrators * all sinks are clean and clear of debris * polisher is clean and the side basins are free of debris * all supplies have been replaced to their proper storage location * all personal equipment has been removed and stored appropriately * stone scales are clean and stored properly * countertop paper replaced daily or when it becomes overly soiled or wet * No food, drinks in lidded containers Starting immediately if any of the pre-clinical lab spaces are not clean and tidy, that space will be closed for after-hours access. You will all lose the privilege of after-hours access to the pre-clinical spaces. This will be one night or one weekend loss of access but could progress to full loss of afterhours/weekend access to all lab spaces if this is not corrected. You must also ensure that you are following the after-hours timings. Custodial services have indicated that students remain in the lab after agreed times and they are unable to complete their task responsibilities. Custodial services should not get to the point that they must call security to have you move out of the lab so they can do their job. This is not fair. Do not negotiate your exit timing with custodial staff. Exit the lab on time, period. The wet lab must be cleaned immediately. I will leave this space open tonight, so you have time to sort the space out appropriately. It will be assessed tomorrow and each day subsequently and if not clean the lab space will be locked for that evening or the full weekend. Dr. Reeve Trenna M. To all dental and dental hygiene students: Updates for clinical activities: 1. Infection prevention and control guidelines are not suggestions, they are mandatory. I have indicated to all clinical staff to write IPAC breaches and submit them to me for review. If at any point, a student has a major breach or repeated minor breaches there is the potential for clinical activities to be limited for that student while IPAC remediation occurs. * the college follows the Manitoba Dental Association IPAC mandated policies and protocols. Accepting these guidelines and incorporating them into your workflow will be essential for your entire career * Wash your hands 2. Government of Canada Fund Request * Check your axium fund request forms. If the form has not yet been approved, you will need to review & update as the form has been modified and requires more detailed information * We added clarity to the questions that need to be answered/confirmed by the patient * The form has been divided so that both DH & Dental Students can add/update their own treatment plans/procedure codes and amounts for the same patient. Any changes, additions, modifications can be done but then you must resubmit the form to Associate Dean for review * Anytime they update a tx plan or amount, you need to resubmit the form to the Associate Dean indicating there has been a change and get it approved * Include all treatment costs - do not forget to add in xrays & exams on the fund request * Notify your PCC when treatment is completed so that the funding can be applied * Students all have access to view all of the tabs so you can verify the status of your requests Have a great week. * Trenna M. To all dental hygiene and dental students, We are now in full swing with clinical operations. It has been a busy week getting back to seeing patients and remembering how to use axiUm. A few points to pass along for next week in order to improve and streamline your clinical experience. 1. Students must inquire about government insurance coverage, prior to booking the patient. They should inquire with their designated PCC or if they are not available, inquire with another PCC or Katalina Munoz - Insurance Coordinator. Students must know what coverage a patient has BEFORE booking the patient. 2. When contacting patients, leave 1 week between each contact attempt to allow the patient to return your call and update the contact notes with all communication. You can request to have a patient dispositioned from your patient list only after you have attempted to contact your patient over a 3 week period (1x/week) and have this properly documented in patient contact notes. 3. Please try to refrain from coming to the window to make inquiries with your designated PCC. An email or axiUm message is preferred. If necessary, send as high importance. During certain times of the day the PCCs must focus on assigned tasks and patients. An email will be most efficient. 4. Radiology Request Forms must include the student's name that is requesting the radiographs. 5. OHAF/ HC FUND - Apply for patients who do not have Private Insurance or are 40% or 60% covered with CDCP Insurance. 6. Ensure at the end of each day you are following IPAC protocols in cleaning and disinfecting your operatory including cleaning the trap on the chair you are using. Have a great week ahead. Trenna M. Hello This email is also posted in your DENT 2202 Intro to Comp Care as the session is embedded in that course. On September 12th from 3pm-5pm, you will collaborate with an interprofessional (IP) team of learners from the following five programs: dentistry, dental hygiene, pharmacy, physiotherapy, and respiratory therapy. There are 30 IP teams split into two groups (Group 1: team 1-15; Group 2: teams 16-30). * Group 1: Teams 1-15 (n=15 teams) who will be in the Frederic Gaspard Theatre, aka Theatre A in the Basic Medical Science Building. Moni Fricke will be the lead IPE facilitator in the room. * Group 2: Teams 16-30 (n= 15 teams) who will be in Theatre B in the Basic Medical Science Building. Sandra Biesheuvel will be the lead IPE facilitator in the room.. * Link to Campus Map University of Manitoba - Maps<https://maps.umanitoba.ca/> There are two interprofessional education (IPE) activities set up for the afternoon. One involves meeting a standardized patient (Sandy Green) in the dental clinic of the Dr. Gerald Niznick College of Dentistry and the other a team discussion on patient compliance. The two groups do both activities but at different times. IPE facilitators will be available to the teams for both activities. The table below identifies your team number. Be sure you are sitting with your team mates by 3PM as the session will start promptly at that time. Facilitators will be on site to guide you to your assigned locations. Here is the simulation scenario with the standardized patient Sandy Green: Patient Sandy Green (63 years of age) is at an inter-professional healthcare clinic because Sandy is experiencing right-sided jaw pain. The healthcare team of which you are a member, meets Sandy in the dental clinic given cardiac-related condition has been ruled out. As a team, take a history of Sandy’s jaw pain. The team may choose to externally palpate the jaw, and assess range of motion. Sandy has COPD and hypertension. Sandy experiences compliance challenges with healthcare providers’ recommendation, for example, physical activity and smoking cessation. For the purpose of the simulation, imagine the dental clinic is within a healthcare clinic. Please note: infection control protocol requires the clinician to wash hands, don gloves, and wear a face mask when touching a patient. These will be available in the dental clinic. Do not perform an internal oral physical assessment as the simulation is not set up for this. In preparation, you might consider using an AI, like Co-pilot and insert the scenario into the chat and ask what your role might be in the scenario. Do know that standardized patient has much a fuller story share than you have been provided in the scenario above. Do focus on the fact that Sandy does experience challenges with some professional recommendation. You are not responsible for coming with a care or treatment plan, that is not the focus of the IPE session. Rather, it is about learning about, with, and from each other—for example, the types of questions you ask and your perspectives. Be curious. Here is a table with your team numbers. By exploring use across universities and disciplines, the study aims to guide the development of AI resources, training, and policies to support educators and researchers. Professional Misconduct

D2 Class, It has come to my attention that individuals within your class were recording clinical activities on Mon 25 August 2025. This is a breach of professional conduct. I have not been provided with individual names so I am sending this message to the entire class realizing that you may not all be involved. Have any of you been to the physician's office or been to any medical clinic and noticed signs indicating that videotaping, photographs or recording is strictly prohibited? Any patient treatment area is a protected space where recording, videotaping and photography is not permitted without strict adherence to clinic protocols and policies. Within the dental college Main Clinic any type of recording or photography must be authorized by the patient and made to be used for diagnosis, treatment planning or managing of a condition or disease process. I would ask all of you to review the Clinic Manual 2025-2026 and ensure that you are clear on the policies and procedures that guide your conduct within the clinic. DENT 2 - Credits

Hello Dent 2 students, As per usual, if you are ever in need of extra supplies or replacement instruments throughout the year, come see Jenna or myself down in Dental Stores. Any items that need to be purchased you will sign for, and it will be added to your Axium account as a running tab that will be asked to be cleared at the end of each term. Payments are only accepted upstairs with the Patient Care Coordinators (PCC's) at clinic reception. In your kits, you have been allotted a set number of items/consumables for the year based on the recommendations by the Course coordinators. The College has offered some of those items to you by means of credits as a buffer for the year (not a part of your tuition). We will track your credits down here in Dental Stores, if those credits are depleted, they are available to purchase. HSC Safety and Security Drop-In Meetings

Message from Dr. Chris Christodoulou, Interim President and CEO of Shared Health Critical discussions with multiple partners to address the safety concerns surrounding Health Sciences Centre continue. The safety of our staff, patients, and visitors is paramount, and we have a shared responsibility of ensuring a safe and supportive environment for everyone who walks through our doors. As we move forward, we recognize that the most meaningful progress will come from working together, uniting our voices and expertise. We must listen carefully to one another and, most importantly, honour the lived experiences of those who are on the frontlines at our facilities who have witnessed firsthand the impacts of the current challenges. We do not take this situation lightly. The road ahead may be complex, but I believe by collaborating and fostering an environment of openness and respect, we can drive the positive change needed to improve the safety and well-being of everyone at Health Sciences Centre. This is why I would like to invite you to be part of this ongoing dialogue. Your insights, concerns, and ideas are invaluable as we work together to chart a successful path forward.
