Dental and Dental Hygiene Students: Please review with following updates and reminders: 1. Axium * if you plan an incorrect treatment then you need to copy the treatment plan in its entirety, make the necessary edits/corrections, delete the old treatment plan and have it signed for by the patient. 2. Pre-authorizations * Send an email on OUTLOOK (not axiUm) to your PCC with all information regarding the treatment you need to pre-authorize. * Students must familiarize themselves with the eligibility criteria set out by CDCP, prior to sending a pre-authorization request to your PCC. Requesting pre-authorizations for patients who do not meet the criteria causes delay in treatment and increases the timeline of all submissions. * View Criteria here: https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.ht… * Students must indicate if the Crown/Denture is an initial placement. If not initial, you must indicate approximately how many years ago the existing was placed. You must provide this information to your PCC/Insurance Coordinator to avoid delaying your pre-authorization. * If you have been notified by a PCC/Insurance Coordinator of any missing information required for pre-authorization, update the PCC/Insurance Coordinator once that information has been obtained (ie: perio chart, x-ray etc) to ensure your pre-authorization is submitted in a timely manner. 3. Patient check-in/Patient check-out * Before checking out your patient at the front desk, ensure you have obtained a swipe for the treatment code provided during the current clinic session. If not then have your patient have a seat in the waiting room and you must return to clinic to find your instructor and have your procedure codes swiped. * If it takes you multiple appointments to complete a single treatment code, then that treatment code should be entered as in process for each of the sessions until it is completed. Treatment codes can be In processed multiple times and are required to reflect each appointment date that the student continues with the treatment. At each clinical session you must enter a treatment code that reflects care that was provided for that session even if it is incompleted. 4. Treatment plan timings * Dental hygiene students should not be scheduling patients until a comprehensive treatment plan has been completed. Communicate with the assigned dental student to coordinate timings to ensure the treatment plan is completed before you schedule the patient for hygiene care. If this is not possible your options are to have the treatment plan completed by the D4 on Hygiene Recall with you or speak to the front desk PCCs and they will look at scheduling the patient for a treatment plan. 5. Radiology * Ensure you have completed the radiology request form and procedure codes for any planned radiographic images and have this approved before bringing your patient to radiology. All radiology requests must be approved by a dental instructor or for those on DH Recall, by the floor lead. * CBCTs will not be fee waivered if they are for diagnostic purposes. If a CBCT is required to help diagnosis or treatment plan it will not be fee waivered. A CBCT may be considered to be fee waived is if it is needed during endodontic therapy to assess ongoing treatment (determine if student has ledged/perforated, missed a canal). Please discuss the cost of CBCT imaging with your patient prior to imaging. * Generally, all CBCTs on the main clinic floor should be for endodontic purposes only. When working with the endodontist if it is felt that a CBCT is required then this will need to be discussed with the patient (fee vs. payment) and then discussed and approved by the floor lead. * If a CBCT has been completed for any reason the radiographic report must be completed with the endodontist first, then forwarded to Dr. Sunil Mutalik for overall review. VPN Access & Remote Axium access

First instal VPN - instructions can be found on the UofM website (link below): https://umanitoba.ca/information-services-technology/my-security/vpn-support For remote AxiUm access, follow the instruction below & see attached links: IST has provided the axiUm RDS Connection Instructions on how to connect to axiUm RDS. The attached RDS link (axiUm.rdp) will need to be copied and placed on the desktop of your personal computer. With your personal computer being outside the UofM network, a VPN connection will first need to be established on your personal computer in order to connect to axiUM RDS If you have a MAC – you need to download Microsoft Windows App onto your computer before you launch axiumRDS.rdp file (link below). Student Voicemail Set-Up

Hello Dent2 Students, I am happy to inform you that you have been assigned a student voice mailbox number. All the instructions are in the Student Clinic Manual, but I have also attached them to this email for quick reference. The last page of the instructions (page 4) is for you to sign & return to me by this Friday, November 14, 2025. I encourage all of you to set up your voicemail message & test it with a classmate to make sure everything is working before clinic starts. Use of the student voice mailbox messaging system is mandatory for all students at the Dr. Gerald Niznick College of Dentistry. This system is for patients to use to contact students. How to set-up your password & personal message: 1. Dial 204-474-6555, when the system answers hit * (you won’t be prompted for this) 2. Enter your 4-digit extension (your ID) followed by # 3. Then enter the automatic PIN (789123) followed by # 4. Cisco Unity will say your password has expired; you will be prompted to enter a new password (at least 6 digits). Trivial & repeat passwords such as 123456 or 987654 or 112233 are not allowed. Your password must be random. After you have successfully set-up your voicemail – please test it to make sure it is working properly. How to retrieve a voice message: 1. When a patient has left you a voice message, you will receive a notification on your cell phone. 2. Dial 204-474-6555 3. When the system answers – press 1(you won’t be prompted for this) 4. You will be asked to enter your ID & press # (your 4-digit voice mailbox number assigned to you) 5. Then you will be asked to enter your password & press # Instructions to give to patients on how to use the Student Voicemail System: 1. At your first appointment with your patient, give them the instructions of the Student Voice Mailbox & your 4-digit mailbox number (handouts can be found in the student file cabinet located by radiology) 2. Patients who need to speak with you regarding an upcoming appointment or treatment are to call the Student Voice Mailbox 204-480-1339 3. The voice mail system will ask the patient to enter the students 4-digit number 4. After the patient has entered your 4-digit number, they will be prompted to leave a voice message for you 5. You will then receive a notification that you have a voice message waiting for you Feel free to come see me or send me a message if you have any questions or concerns. Undergraduate Lab Spaces

Students, During student orientation at the start of this academic year it was made clear to each of your classes that the Brass, Hart and wet lab areas are joint spaces used by dental and dental hygiene student groups and must be kept neat, clean and tidy at all times. After-hours access to lab spaces is a privilege not a right. Currently the college has supported the students' request to have these labs open after hours (10pm on Monday and 8pm Thurs-Fri). After hours and weekend access was negotiated to support student learning under the agreement that students would be mindful to keep the areas clean and neat. To note, most dental colleges do not allow after-hours lab access and if so, only with very reduced supervised hours. As you can see from the attached photos the wet lab (between Brass and Hart labs) has hit a new low on cleanliness. These photos were taken this afternoon, this is deplorable. Also, there was equipment that was left running and a hot glue gun that was left plugged in and heated. This is unacceptable and a building safety issue. The limit has been reached for having myself and your course coordinators reminding you of your responsibility to keep these spaces clean and tidy. Lab cleanliness includes * all counters clean and free of debris * the face of all cabinets free of debris * all equipment that is not in direct use is shut off * the model trimmer and basin are clean and free of debris * all plaster splash has been removed from the model vibrators * all sinks are clean and clear of debris * polisher is clean and the side basins are free of debris * all supplies have been replaced to their proper storage location * all personal equipment has been removed and stored appropriately * stone scales are clean and stored properly * countertop paper replaced daily or when it becomes overly soiled or wet * No food, drinks in lidded containers Starting immediately if any of the pre-clinical lab spaces are not clean and tidy, that space will be closed for after-hours access. You will all lose the privilege of after-hours access to the pre-clinical spaces. This will be one night or one weekend loss of access but could progress to full loss of afterhours/weekend access to all lab spaces if this is not corrected. You must also ensure that you are following the after-hours timings. Custodial services have indicated that students remain in the lab after agreed times and they are unable to complete their task responsibilities. Custodial services should not get to the point that they must call security to have you move out of the lab so they can do their job. This is not fair. Do not negotiate your exit timing with custodial staff. Exit the lab on time, period. The wet lab must be cleaned immediately. I will leave this space open tonight, so you have time to sort the space out appropriately. It will be assessed tomorrow and each day subsequently and if not clean the lab space will be locked for that evening or the full weekend. Dr. Reeve Trenna M. They require the preparation of another examination, scheduling of a testing location, and the assignment of faculty to proctor the exam. The different date has the potential to afford an unfair advantage to a student. The Course Coordinator may, at his/her discretion, choose to alter the format of a re-administered examination to accommodate the above concerns. A re-administered examination may include one or a combination of short answer, essay, or multiple-choice questions, and can be in either oral or written format. Students are expected to write examinations on the scheduled dates. Students with unexcused examination absences will be given a mark of zero ('0') for the exam. To all dental and dental hygiene students: Updates for clinical activities: 1. Infection prevention and control guidelines are not suggestions, they are mandatory. I have indicated to all clinical staff to write IPAC breaches and submit them to me for review. If at any point, a student has a major breach or repeated minor breaches there is the potential for clinical activities to be limited for that student while IPAC remediation occurs. * the college follows the Manitoba Dental Association IPAC mandated policies and protocols. Accepting these guidelines and incorporating them into your workflow will be essential for your entire career * Wash your hands 2. Government of Canada Fund Request * Check your axium fund request forms. If the form has not yet been approved, you will need to review & update as the form has been modified and requires more detailed information * We added clarity to the questions that need to be answered/confirmed by the patient * The form has been divided so that both DH & Dental Students can add/update their own treatment plans/procedure codes and amounts for the same patient. Any changes, additions, modifications can be done but then you must resubmit the form to Associate Dean for review * Anytime they update a tx plan or amount, you need to resubmit the form to the Associate Dean indicating there has been a change and get it approved * Include all treatment costs - do not forget to add in xrays & exams on the fund request * Notify your PCC when treatment is completed so that the funding can be applied * Students all have access to view all of the tabs so you can verify the status of your requests Have a great week. * Trenna M. To all dental hygiene and dental students, We are now in full swing with clinical operations. It has been a busy week getting back to seeing patients and remembering how to use axiUm. A few points to pass along for next week in order to improve and streamline your clinical experience. 1. Students must inquire about government insurance coverage, prior to booking the patient. They should inquire with their designated PCC or if they are not available, inquire with another PCC or Katalina Munoz - Insurance Coordinator. Students must know what coverage a patient has BEFORE booking the patient. 2. When contacting patients, leave 1 week between each contact attempt to allow the patient to return your call and update the contact notes with all communication. You can request to have a patient dispositioned from your patient list only after you have attempted to contact your patient over a 3 week period (1x/week) and have this properly documented in patient contact notes. 3. Please try to refrain from coming to the window to make inquiries with your designated PCC. An email or axiUm message is preferred. If necessary, send as high importance. During certain times of the day the PCCs must focus on assigned tasks and patients. An email will be most efficient. 4. Radiology Request Forms must include the student's name that is requesting the radiographs. 5. OHAF/ HC FUND - Apply for patients who do not have Private Insurance or are 40% or 60% covered with CDCP Insurance. 6. Ensure at the end of each day you are following IPAC protocols in cleaning and disinfecting your operatory including cleaning the trap on the chair you are using. Have a great week ahead. Trenna M. Mandatory IPE Session: September 12th from 3pm-5pm

Hello This email is also posted in your DENT 2202 Intro to Comp Care as the session is embedded in that course. On September 12th from 3pm-5pm, you will collaborate with an interprofessional (IP) team of learners from the following five programs: dentistry, dental hygiene, pharmacy, physiotherapy, and respiratory therapy. There are 30 IP teams split into two groups (Group 1: team 1-15; Group 2: teams 16-30). * Group 1: Teams 1-15 (n=15 teams) who will be in the Frederic Gaspard Theatre, aka Theatre A in the Basic Medical Science Building. Moni Fricke will be the lead IPE facilitator in the room. * Group 2: Teams 16-30 (n= 15 teams) who will be in Theatre B in the Basic Medical Science Building. Sandra Biesheuvel will be the lead IPE facilitator in the room.. * Link to Campus Map University of Manitoba - Maps<https://maps.umanitoba.ca/> There are two interprofessional education (IPE) activities set up for the afternoon. One involves meeting a standardized patient (Sandy Green) in the dental clinic of the Dr. Gerald Niznick College of Dentistry and the other a team discussion on patient compliance. The two groups do both activities but at different times. IPE facilitators will be available to the teams for both activities. The table below identifies your team number. Be sure you are sitting with your team mates by 3PM as the session will start promptly at that time. Facilitators will be on site to guide you to your assigned locations. Here is the simulation scenario with the standardized patient Sandy Green: Patient Sandy Green (63 years of age) is at an inter-professional healthcare clinic because Sandy is experiencing right-sided jaw pain. The healthcare team of which you are a member, meets Sandy in the dental clinic given cardiac-related condition has been ruled out. As a team, take a history of Sandy’s jaw pain. The team may choose to externally palpate the jaw, and assess range of motion. Sandy has COPD and hypertension. Sandy experiences compliance challenges with healthcare providers’ recommendation, for example, physical activity and smoking cessation. For the purpose of the simulation, imagine the dental clinic is within a healthcare clinic. Please note: infection control protocol requires the clinician to wash hands, don gloves, and wear a face mask when touching a patient. These will be available in the dental clinic. Do not perform an internal oral physical assessment as the simulation is not set up for this. In preparation, you might consider using an AI, like Co-pilot and insert the scenario into the chat and ask what your role might be in the scenario. Do know that standardized patient has much a fuller story share than you have been provided in the scenario above. Do focus on the fact that Sandy does experience challenges with some professional recommendation. You are not responsible for coming with a care or treatment plan, that is not the focus of the IPE session. Rather, it is about learning about, with, and from each other—for example, the types of questions you ask and your perspectives. Be curious. Here is a table with your team numbers. Good morning D2 Class, I would like to meet with you and your class for 20 minutes on Wed., Sept 15, 2025 from 1:30 - 1:50 in Garvin Theatre (D018). The purpose is to conduct a needs assessment of students in terms of AI use for learning. I have done this with the D1s, D3s, and D4s and wish to invite your class to do the same. My research focuses on the Scholarship of Teaching and Learning, exploring innovative strategies to enhance education and professional growth within dentistry and beyond. I wish to invite you to participate in this study on artificial intelligence used by students and academics. Purpose & Benefits: This survey examines faculty experiences, attitudes, and needs regarding AI tools (e.g., ChatGPT, Grammarly) in teaching and research. By exploring use across universities and disciplines, the study aims to guide the development of AI resources, training, and policies to support educators and researchers. Your insights will help shape AI's role in higher education, enhancing support, resources, and policies. Participation: Participation is voluntary. By completing the survey, you provide your consent. Professional Misconduct

D2 Class, It has come to my attention that individuals within your class were recording clinical activities on Mon 25 August 2025. This is a breach of professional conduct. I have not been provided with individual names so I am sending this message to the entire class realizing that you may not all be involved. Have any of you been to the physician's office or been to any medical clinic and noticed signs indicating that videotaping, photographs or recording is strictly prohibited? Any patient treatment area is a protected space where recording, videotaping and photography is not permitted without strict adherence to clinic protocols and policies. Within the dental college Main Clinic any type of recording or photography must be authorized by the patient and made to be used for diagnosis, treatment planning or managing of a condition or disease process. I would ask all of you to review the Clinic Manual 2025-2026 and ensure that you are clear on the policies and procedures that guide your conduct within the clinic.
