Dental hygiene and dental students, The good news is that you have all been doing a great job at using the OHAF funds to support patient care and your learning. You are making a tremendous impact on the oral health of many people within our community that otherwise would not have received care. We are now at a point where the OHAF fund is depleting rapidly, and I am no longer able to approve any further OHAF patient funding requests until we have more information. I have overcommitted the OHAF funds with the expectation that not all of the treatment would ultimately be completed. We now need to know what treatment that has been approved will not be moving forward so that we can have a clearer financial view of what monies we have remaining until 31 March. This update will help ensure that any committed funds from approved treatment can be redirected to other student requests for funding now. We need to know what treatment that has ALREADY been approved will NOT be proceeding. Please open the link below and follow the directions exactly. Hello We are trialing an escape room on Wednesday, Feb 25th, 5:30-6:30 PM and hope to have 20 RFHS students join us. Students would be placed in interprofessional teams for the escape room. The escape room, we anticipate, will take about 30 minutes. The teams would then participate in a facilitated debrief immediately following the escape room. Pizza will be served. We aim to put the fun in learning and would really appreciate your input. Please see the attached poster for the QR code to register for the escape room. Registration closes Feb 20th, 2026. This meaning speaks to the connections the students make with the community, each other, and the land and guides the interprofessional and social accountability opportunities within this program for Rady Faculty of Health Sciences. The experiences are all directed by the community partners to provide opportunities for students to learn about their community, its people, and health and well-being. Some of the experiences are anchored in a Sundance ceremony, while others include opportunities to spend time in their nursing stations and health centres. All experiences include land based experiences. Some experiences involve camping with the community while in others, students will stay in cabins on the water (and in some you'll do both!). All communities have road access, however in some scenarios students may fly. All expenses (travel, food, accommodations, ceremonial contributions etc) are covered by the RBC Experiential Learning Travel Fund. Sundances:<https://news.umanitoba.ca/sundances-offer-students-crash-course-in-culture/> For the various sundances, we play important helper roles (picking/preparing medicines, cutting trees, building the lodge, helping the kitchen staff with communal meals, assisting with cleanup). In most cases we camp with the community, however there is an option to commute to the Blacksmith Sundance (near Spruce Woods) or stay in a hotel in The Pas for the Opaskwayak. Ideally students will be available from early Friday morning to help build with lodge and then Saturday and Sunday to support/observe/participate in other ceremonies within the sundance. * Blacksmith Sundance (Spruce Woods): June 11-14, 2026 * Opaskwayak Sundance (OCN/The Pas): July 2-5, 2026 * Shallow Bay Sundance (Grand Rapids): July 9-12, 2026 * York Landing Sundance (York Landing) August 6-9, 2026 * Sakitowin Sundance (Cross Lake/Pimicikamak): August 20-23, 2026 * Two Spirit Sundance (Near Portage): To be confirmed Longer community experiences: There are communities offering one or two-week opportunities: Norway House: Students will have a wholistic opportunity to learn about the community and health and well-being. Students will spend time in the newly built Health Centre of Excellence, in community programing, and in land-based experiences. Expect to spend time on and around the water and to be in ceremony. Students will be in community for the Indigenous Peoples day. Accommodations are a cabin on the water. Priority will be given to students who can attend for 2 weeks, however one week options may be available to accommodate clinical/academic schedules. Grand Rapids: Students will have a wholistic opportunity to learn about the community and health and well-being. Students will spend the first week at the nursing station and with the community health programs. The weekend will spent at the Shallow Bay sundance. Week two is scheduled based on opportunities available and student preference (may involve the nursing station, a land based camp, treaty days etc). Accommodations are a cabin on the water during the week and camping on the weekend. Priority will be given to students who can attend for 2 weeks, however one week options may be available. Tobacco camp (SERDC)<https://serdc.mb.ca/health/commercial-tobacco-reduction-strategy> in the Whiteshell: Students will be helpers at a camp for youth where the focus is to provide smoking cessation strategies, teachings re: traditional uses of tobacco/cultural practices, and harm reduction/health promotion strategies. Youth come from the communities in the South East Region to Brereton Lake in the Whiteshell; students will stay in cabins. Norway House Cree Nation: June 15-26, 2026 Grand Rapids: July 6-17, 2026 Tobacco Camp: August 10-14, 2026 (anticipated, not yet confirmed) Why is this being offered? The RFHS is committed to offering interprofessional education to enhance the provision of integrated care, and is dedicated to actively building and enhancing partnerships to contribute to the communities it serves, including Indigenous Health partnerships, for collaborative care. What costs will be covered? Costs for students' travel, food and accommodations will be covered by the RBC Health Sciences Student Travel Initiative. What is the deadline to apply? The first deadline to apply will be Monday April 6th at which point Lisa will begin confirming matches. The application will continue to stay open as long as spaces remain for students. Where will students stay? How will they get there? Depending on the experience, students will either stay in the professional accommodations at the health centre, a hotel, or a cabin in the area. If attending a sundance it is likely you will camp with the community. Camping equipment is available if needed. Students will either fly or drive to the experience; carpooling will occur where possible. Will students receive credit for this experience? In most cases these experiences do not contribute to a specific course. For UGME students, the experience is approved as an "Early Exposure" if the hour requirement is met. Who can apply? Students enrolled in the health profession programs in any of the five Colleges of the RFHS who have completed at least one term of their program are eligible are prioritized. With each ceremony done, there were many lessons to be learned, but one important lesson was how well the non-pharmacological intervention assisted the Indigenous people in healing and coping with their grief. These ceremonies were beautiful and moving, and I felt honored to be a part of them. The value of such spiritual practice was clear to me and helped show me that there is a great need for our society to support people to look after their own and their community's spiritual wellbeing. This weekend was one of the most memorable experiences I have had throughout my time at the Rady Faculty of Health Sciences. There were many powerful learnings that I would have never experienced inside a classroom nor reading through books. It was evident to me that a sense of belonging in community, language, culture and traditions have a huge role to play in healing. If you are considering this experience but are on the fence, just go for it... this experience has been one of the most valuable to me as a person and professional, as it has given me insight into Indigenous culture, health care in the North, and interprofessional practice that I could not have gotten anywhere else. Susan Petras Connect with Health Profession Students to Explore Oral Health-Health As a health profession student we invite you to participate in a pilot of a novel initiative titled: Team-Based Collaborative Experiential Learning (TBCEL): From Head to Toes The initiative offers a unique opportunity to engage in team-based learning with students from other health disciplines and patients, focusing on the integration of oral and overall health. Though oral health is integral to overall health, it is often underrepresented in non-oral health professional education. This pilot offers you the opportunity to explore the relationship in a collaborative manner with fellow health profession students in an experiential learning practice setting. We hope you join us and help interprofessional education planners gain insights into future opportunities promoting wholistic healthcare. A short information session about the pilot will be held on Monday, Feb 23, 12:15-12:45 PM in Merkley. Endodontic Treatment Guidelines

D3 and D4 students, For teeth planned for endodontic treatment you must have the following information included in your patient notes: Tooth # - percussion sensitivity (Yes/No), apical palpation tenderness (Yes/No), EPT results, cold test results, mobility, any probing depths >3mm, restorable (Yes/No) Then with that information you need to clearly indicate a pulpal and periapical diagnosis for the tooth in question Without data collection and a diagnosis, you should never proceed with endodontic treatment for a tooth (at the college or in private practice). If the treatment is elective endo then you still need to collect and report all data and pulpal and periapical diagnosis, then clearly state why elective endodontic treatment is needed. All endo treatment assignments are managed through the PCCs Elaine and Athena. They must be aware of when you are moving forward with endo treatment on any assigned patient. For all endo co-assignments within D3 and D4 these must be emailed to myself, Elaine and Athena to be reviewed and reassigned. If I do not see the information listed above the case will be on hold until you have properly collected/recorded in the patient chart the necessary pulp vitality testing information and confirmed an endodontic diagnosis. All Students, Welcome back, I hope you all had a great holiday and enjoyed a bit of a break from the college. As we get back into clinic, I would implore you all to refresh your mind on clinic protocols and remember the requirements for the pre-clinical and senior labs to be kept clean. Points to remember as we go into the next term: 1. Insurance pre-authorizations: * You must know the eligibility criteria set out by CDCP, prior to sending a pre-authorization request to your PCC. * Requesting pre-authorizations for patients who do not meet the criteria causes delay in treatment and increases the timeline of all submissions.View Criteria here: https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.ht… * Pre-authorization submissions MUST include if the Crown/Denture is an initial placement. If not initial, you must indicate approximately how many years ago the existing was placed. You must provide this information to your PCC/Insurance Coordinator to avoid delaying your pre-authorization. * If you have been notified by a PCC/Insurance Coordinator of any missing information required for pre-authorization, update the PCC/Insurance Coordinator once that information has been obtained (ie: perio chart, x-ray etc) to ensure your pre-authorization is submitted in a timely manner. 2. Axium * Ensure you check your patient in and out. This is not only needed so everyone in the clinic and front desk are aware of patient flow and activity but also for safety reasons incase of a fire or emergency. * You must have a procedure code swiped for each patient's visit. It may take a number of sessions to complete a single procedure code so you are either in processing the same parent code at each appointment until treatment is completed or you are in processing/completing the step codes as appropriate. * Pay attention to the codes and information you are entering into axium. Patient records are legal documents and as such must accurately reflect the treatment provided at each session. * Having gone thru your mini clearance you can hopefully appreciate that keeping your patient documents accurate and up to date makes sense. 3. Hygiene Recall Rotation * For patients who have completed all planned dental care and are assigned to a hygiene student only, ensure these patients have a current (within 12 mos.) recall exam. This can be completed in the hygiene chair by the hygiene recall D4 student. D4 students need to ensure they input a recall exam code into the patient's chart and progress notes. * Remember to send out a general referral for undergrad student assignment and to have the interprofessional note completed at the session. 4. OHAF * For those students who have patients that have been assigned to them from the OHAF outreach program ensure that you contact these patient's immediately to schedule a treatment plan and start on treatment. * OHAF funding ends on 31 March 2026. What does this mean: * CDCP covered patients - any treatment that was pre-authorized by BOTH CDCP and OHAF funding BEFORE 31 March 2026 should be covered * Non CDCP patients - patients who DO NOT have CDCP coverage and were funded for dental treatment by OHAF funding only will NOT be covered for ANY treatment beyond 31 March 2026. All treatment covered by OHAF only patients MUST be completed by 31 March 2026, or it WILL NOT be covered. 5. Screening Patients * Some patients are referred to us from private practice offices. These referrals are for select procedures such as single implants, endo, crowns, and dentures. Sometimes we need to do a "limited" screening for these patients to determine if the referred treatment is within our students' appropriate learning level. This will be booked in the screening chair and will be labelled "LTD TX". * Do NOT do a comprehensive screening for these patients. When we have a limited referral from private practice, we only want to ensure that we are able to complete the specific care referred to us; we do not want to take over the comprehensive care for the patient. You can appreciate that we will lose out on private practice offices referring limited care to the college clinic if we proceed to take over the patient comprehensively. 6. Pediatric Patients * If there is a need to contact a parent/guardian of a pediatric patient, this must be coordinated through the Pediatric PCC at the front desk. Students should not use their personal means of communication to contact parents/guardians of the Pediatric Program Patients. 7. D3 Scanning Rotation * students must use the Emerald S scanners even if the Primescan is functioning. 8. Treatment Plans * If a procedure code is changed you must update the treatment plan. Copy and paste the entire treatment plan, make the corrections and then deactivate the old treatment plan. 9. IPAC * This is not something that you can forget at any point in your career. Make sure you are flushing your lines, washing your hands at all key points, and following all IPAC protocols. Breaches may result in loss of clinic privileges. Take care and have a great 2026. Hello Dentistry students, Attached are your winter term schedules by week and the overall Winter Timetable. Also included is the Dentistry/Dental Hygiene Academic Schedule. Note winter term courses will be available in UM Learn as of January 5th. If access to any fall courses disappears over the next few weeks, please let your instructor know and copy me and Dr. John Perry on the email. There are sometimes some behind the scenes processes that shut down UM Learn automatically and we will ensure that they are up and available for your exam period. After January 5th, please use your schedules in UM Learn as I will not be updating these Excel documents and/or re-circulating them. Note that any exam information included on the weekly schedules is DRAFT and subject to change. Please do not make any travel arrangements until these exam schedules are FINAL. Please also note that you are required to attend clinical clearance at the end of term. Presently, this has been scheduled after the last week of clinics for D4 and the week after exams for D1-3. If there are discrepancies between lecture information entered in UM Learn and your course outline, please confirm with your Course Coordinator. Dental and Dental Hygiene Students: Please review with following updates and reminders: 1. Axium * if you plan an incorrect treatment then you need to copy the treatment plan in its entirety, make the necessary edits/corrections, delete the old treatment plan and have it signed for by the patient. 2. Pre-authorizations * Send an email on OUTLOOK (not axiUm) to your PCC with all information regarding the treatment you need to pre-authorize. * Students must familiarize themselves with the eligibility criteria set out by CDCP, prior to sending a pre-authorization request to your PCC. Requesting pre-authorizations for patients who do not meet the criteria causes delay in treatment and increases the timeline of all submissions. * View Criteria here: https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.ht… * Students must indicate if the Crown/Denture is an initial placement. If not initial, you must indicate approximately how many years ago the existing was placed. You must provide this information to your PCC/Insurance Coordinator to avoid delaying your pre-authorization. * If you have been notified by a PCC/Insurance Coordinator of any missing information required for pre-authorization, update the PCC/Insurance Coordinator once that information has been obtained (ie: perio chart, x-ray etc) to ensure your pre-authorization is submitted in a timely manner. 3. Patient check-in/Patient check-out * Before checking out your patient at the front desk, ensure you have obtained a swipe for the treatment code provided during the current clinic session. If not then have your patient have a seat in the waiting room and you must return to clinic to find your instructor and have your procedure codes swiped. * If it takes you multiple appointments to complete a single treatment code, then that treatment code should be entered as in process for each of the sessions until it is completed. Treatment codes can be In processed multiple times and are required to reflect each appointment date that the student continues with the treatment. At each clinical session you must enter a treatment code that reflects care that was provided for that session even if it is incompleted. 4. Treatment plan timings * Dental hygiene students should not be scheduling patients until a comprehensive treatment plan has been completed. Communicate with the assigned dental student to coordinate timings to ensure the treatment plan is completed before you schedule the patient for hygiene care. If this is not possible your options are to have the treatment plan completed by the D4 on Hygiene Recall with you or speak to the front desk PCCs and they will look at scheduling the patient for a treatment plan. 5. Radiology * Ensure you have completed the radiology request form and procedure codes for any planned radiographic images and have this approved before bringing your patient to radiology. All radiology requests must be approved by a dental instructor or for those on DH Recall, by the floor lead. * CBCTs will not be fee waivered if they are for diagnostic purposes. If a CBCT is required to help diagnosis or treatment plan it will not be fee waivered. A CBCT may be considered to be fee waived is if it is needed during endodontic therapy to assess ongoing treatment (determine if student has ledged/perforated, missed a canal). Please discuss the cost of CBCT imaging with your patient prior to imaging. * Generally, all CBCTs on the main clinic floor should be for endodontic purposes only. When working with the endodontist if it is felt that a CBCT is required then this will need to be discussed with the patient (fee vs. payment) and then discussed and approved by the floor lead. * If a CBCT has been completed for any reason the radiographic report must be completed with the endodontist first, then forwarded to Dr. Sunil Mutalik for overall review. Needles for local anaesthesia

There seems to be a bit of a misunderstanding. When you are doing a mandibular block you should always be using long needles. Dispensary has 25 Longs available. You will not get local if the needle does not contact bone. If a short needle breaks it can be a multi hour surgery under general anaesthetic to retrieve it. The patient is unlikely to notice a difference between a 25 and 27 gauge needle and the 25 is less likely to deflect. We are never ever ever getting back together or using short needles for mandibular blocks. They require the preparation of another examination, scheduling of a testing location, and the assignment of faculty to proctor the exam. The different date has the potential to afford an unfair advantage to a student. The Course Coordinator may, at his/her discretion, choose to alter the format of a re-administered examination to accommodate the above concerns. A re-administered examination may include one or a combination of short answer, essay, or multiple-choice questions, and can be in either oral or written format. Students are expected to write examinations on the scheduled dates. Students with unexcused examination absences will be given a mark of zero ('0') for the exam. Oral Health Access Fund Update

To all, With the recent TV, radio, and social media announcement of the Health Canada grant there has been an onslaught of queries. I would like to review the details involved with this grant. WHO This initiative prioritizes equitable access to dental care for populations facing systemic barrier to dental care. Who can be considered for funding under this grant: * Individuals who have 40% or 60% CDCP coverage - will cover the co-pay amount for Schedule A (see attachment) treatment and for Schedule B (see attachment) treatment that has been pre-approved by Sunlife * Individuals with NO insurance (absolutely NO insurance of any type) who experience barriers to accessing dental care. This could include individuals who are/have: * Newcomers to Canada * Experiencing housing insecurity * Experiencing poverty * Socio-economical barriers to care * Individuals who have met the above criteria and have been pre-screened by the UM Oral Health Community Liaisons team WHAT What treatment can be considered for funding under this grant. * Co-pay amount for 40% and 60% CDCP patients. Schedule A and pre-approved Schedule B treatment. * For non-insured individuals - CDCP Schedule A treatment procedures and Schedule B. Any Schedule B treatment must meet the CDCP criteria to be approved. Refer to the following link to review criterial for selection:https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.html#h2.6-1-10 WHERE This grant is targeted at the undergraduate dental and dental hygiene students ONLY. Therefore, ONLY submit approval requests for treatment procedures that will be completed within the Dr. Gerald Niznick College of Dentistry undergraduate main clinic or undergraduate oral surgery clinic by an undergraduate dental or dental hygiene student. WHEN The fund expires on 31 March 2026. ANY treatment that has been approved for OHAF funding that is completed AFTER this date will NOT be covered. Again, if you have treatment that has been approved for OHAF funding, but you do not have that treatment completely finished by 31 March 2026 (i.e final crown inserted, RPD final insertion) then it will NOT be covered. HOW Apply for funding through Axium. Ensure you fill out the HCF form fully and in great detail. There is only 1 form for each patient for both the dental hygiene and dental student to use as needed. If something changes with your request then you must update the form and re-action the form. Indicate in the comments section what has changed. Trenna M. Please do not add extra lines under the endodontist list to fit your name in. Bookings can only be made up to 2 weeks in advance. Please do not place your name on the list every week beyond that limit as it will be removed. The cap on Endo chairs is in place to ensure adequate supervision and availability of equipment.
