Oral Health Access Fund Update

To all, With the recent TV, radio, and social media announcement of the Health Canada grant there has been an onslaught of queries. I would like to review the details involved with this grant. WHO This initiative prioritizes equitable access to dental care for populations facing systemic barrier to dental care. Who can be considered for funding under this grant: * Individuals who have 40% or 60% CDCP coverage - will cover the co-pay amount for Schedule A (see attachment) treatment and for Schedule B (see attachment) treatment that has been pre-approved by Sunlife * Individuals with NO insurance (absolutely NO insurance of any type) who experience barriers to accessing dental care. This could include individuals who are/have: * Newcomers to Canada * Experiencing housing insecurity * Experiencing poverty * Socio-economical barriers to care * Individuals who have met the above criteria and have been pre-screened by the UM Oral Health Community Liaisons team WHAT What treatment can be considered for funding under this grant. * Co-pay amount for 40% and 60% CDCP patients. Schedule A and pre-approved Schedule B treatment. * For non-insured individuals - CDCP Schedule A treatment procedures and Schedule B. Any Schedule B treatment must meet the CDCP criteria to be approved. Refer to the following link to review criterial for selection:https://www.canada.ca/en/services/benefits/dental/dental-care-plan/guide.html#h2.6-1-10 WHERE This grant is targeted at the undergraduate dental and dental hygiene students ONLY. Therefore, ONLY submit approval requests for treatment procedures that will be completed within the Dr. Gerald Niznick College of Dentistry undergraduate main clinic or undergraduate oral surgery clinic by an undergraduate dental or dental hygiene student. WHEN The fund expires on 31 March 2026. ANY treatment that has been approved for OHAF funding that is completed AFTER this date will NOT be covered. Again, if you have treatment that has been approved for OHAF funding, but you do not have that treatment completely finished by 31 March 2026 (i.e final crown inserted, RPD final insertion) then it will NOT be covered. HOW Apply for funding through Axium. Ensure you fill out the HCF form fully and in great detail. There is only 1 form for each patient for both the dental hygiene and dental student to use as needed. If something changes with your request then you must update the form and re-action the form. Indicate in the comments section what has changed. Trenna M. Hello D3 & D4 students, This is a reminder that you may not schedule Endo on Thursday afternoons unless you have signed up for a Endo spot in the Google Drive document: Here is the link for the doc: https://docs.google.com/document/d/1HLoQJZHtVUXunZK7kE6n6PHXGzSlWMTsInfUE71… There are only 4 spots with the endodontist and 2 spots with GP. Please do not add extra lines under the endodontist list to fit your name in. Bookings can only be made up to 2 weeks in advance. Please do not place your name on the list every week beyond that limit as it will be removed. The cap on Endo chairs is in place to ensure adequate supervision and availability of equipment. Clinical Updates - 6 October 2025

Dental Hygiene and Dental Students, Updates as follows: 1. For insurance pre-authorizations (CDCP, Blue Cross, NIHB etc.) you must indicate if a planned crown/denture is "Initial Placement". If not the initial placement, the PCCs need to know approximately when the initial was placed in order to submit the pre-authorization. If this detail is not included in the pre-authorization request it will be denied and returned requesting this information. Add these details to EHR notes when treatment planning is most helpful. You can also include the details in your email request for pre-authorization submission. 2. HC FUND Form * If you want to request the Exam and X-rays to be covered, you must include their codes and fees in the HC Form. * You must list all treatment codes, sites and associated cost in the HC Form. It is most helpful to list as follows: * 23 33111 one canal root canal $xxx.xx * 23 27201 ACC crown $xxx.xx * When calculating the Total Cost requested for the HCFUND, include all costs for the listed treatment. If the patient has CDCP coverage, calculate the co-pay amount. * Only treatment included under the CDCP Fee Guide that meets CDCP eligibility criteria and frequency limits is considered. 3. There is a new Screening Template Note to be used in axiUm going forward. Located under D3X5 (3rd year) and D4X5 (4th year). 4. Radiology Request Form - you must close the requisition for radiographs REQ ---> FIN (page 71-73 in axiUm orientation manual) 5. Ensure you are checking in and checking out your patients when seated and dismissed- it is students responsibility to do so as they are in constant communication with their patient, as well as for safety reasons (mentioned in Patient Management Orientation). Part time instructors have mentioned this helps them monitor which students to check in with first. And this is mandatory in case of a fire drill all people must be accounted for and we use axium to track this. 6. Students are not allowed to delete treatment that is put in EHR. A patient's chart is a legal documentation - correct process is to submit correction card for it. (page 74 in axiUm orientation manual and page 36 in Patient Management Orientation) 7. Students are coming into PCCs windows with their masks under their chin. They touch their masks many times when by the window. Masks should be removed before exiting the unit followed by hand sanitizing. PCCs will be noting when students come to the front desk with masks on and breaches will be followed up. 8. Mock OSCE exam resource

He has requested in his email below that his Mock OSCE exam site be made available to our D4 students. Instructions to access questions and answers are detailed in the attachment. There are currently 144 questions available in 8 testlets in English and French using the released NDEB OSCE templates. As the NDEB has transitioned to the new VOSCE exam in March 2023, the Mock OSCE exam site will still be relevant due to the extended match format questions that will continue to be in the VOSCE. I request that you pass this information on to the DDS4/DMD4 students in your program. Not every student may choose to access the Mock OSCE exam site, but they all should all have the option to do so. There is no cost to access the site. If you haven't had a chance to review the material on the site, please feel free to register using the instructions that are attached. To all dental and dental hygiene students: Updates for clinical activities: 1. Infection prevention and control guidelines are not suggestions, they are mandatory. I have indicated to all clinical staff to write IPAC breaches and submit them to me for review. If at any point, a student has a major breach or repeated minor breaches there is the potential for clinical activities to be limited for that student while IPAC remediation occurs. * the college follows the Manitoba Dental Association IPAC mandated policies and protocols. Accepting these guidelines and incorporating them into your workflow will be essential for your entire career * Wash your hands 2. Government of Canada Fund Request * Check your axium fund request forms. If the form has not yet been approved, you will need to review & update as the form has been modified and requires more detailed information * We added clarity to the questions that need to be answered/confirmed by the patient * The form has been divided so that both DH & Dental Students can add/update their own treatment plans/procedure codes and amounts for the same patient. Any changes, additions, modifications can be done but then you must resubmit the form to Associate Dean for review * Anytime they update a tx plan or amount, you need to resubmit the form to the Associate Dean indicating there has been a change and get it approved * Include all treatment costs - do not forget to add in xrays & exams on the fund request * Notify your PCC when treatment is completed so that the funding can be applied * Students all have access to view all of the tabs so you can verify the status of your requests Have a great week. * Trenna M.
