I am writing to provide information about an option for International students whose first language is not English and who are facing or on academic or disciplinary suspension. These students may benefit from a referral to the English Language Centre<https://umanitoba.ca/english-language-centre> to explore enrolment in the Intensive Academic English Program (IAEP)<https://umanitoba.ca/english-language-centre/intensive-academic-english>. These students should be advised to make an appointment with a Regulated International Student Immigration Advisor (RISIA) from the International Centre before making a decision about the IAEP<https://umanitoba.ca/sites/default/files/2020-06/elc-english-flyer-web.pdf>. It is important that international students understand the impacts of transferring from a degree program to an ELC program on their study permit conditions; eligibility to work in Canada while studying at the ELC; and their eligibility to obtain a Post-Graduation Work Permit (PGWP) after the eventual completion of their degree program. Next steps: unpaid fall 2024 tuition fees

Hello everyone, This message is being sent to you in collaboration with Financial Services and the Registrar’s Office. We wanted to provide you with an update on upcoming processes to handle outstanding fall term fees. As you are regularly in touch with students, please encourage them to check their UM email accounts as this information will be sent to them via email over the next few weeks. This information is for advisors only, please do not repost on social media sites. To ensure you have information at your fingertips, here are some important pieces for you: 1. The fall term fee payment deadline was October 2nd. 2. The first late fee was applied to student accounts on October 7th, in the amount of $50. 3. An email will be sent to students who have an outstanding balance, and holds will be placed on accounts by approximately October 10th. 4. On approximately October 16th, Finance will send a ‘deregistration’ notice to students who still owe. The email will advise that students must clear up all owing fees by October 31st or they will be subject to deregistration. 5. The second late fee will be placed on November 1st: * $50 on balances between $500 and $1,000 * $100 on balances over $1,000 1. De-registration from winter 2025 classes (and winter/summer spanned classes) will begin the week of November 4th. Students who are on hold or de-registered from classes due to an outstanding balance should make arrangements to pay their fees as soon as possible. Halloween Spooktacular Event - in support of the UM Food Bank

Hello, The UofM Food Bank invites you to participate in our upcoming fundraising event to support students in need of our campus food bank. With over 500 students visiting each month, we are calling on the entire UofM community to come together for this important cause. This time, we are hosting a SPOOKTACULAR CANDY SALE! We would love your help by contributing a bag (or box!) of your favorite Halloween candy. Our team of dedicated volunteers will sort and pack the candies into spooky bags to sell across campus, with all proceeds going directly to the purchase of food and hygiene products to support students who rely on the food bank. We will send our details in the following weeks on how to surprise your colleagues across the Fort Garry campus! Harvesting your gardens in support of the UM Food Bank!

Hello colleagues, If your gardens have been bountiful this year, and you are looking for ways to use your fresh vegetables….look no further! The UM Foodbank would appreciate your support. Please feel free to drop off your garden veggies to the Foodbank Monday through Friday (located in room 518 UMSU University Centre). We are open 10-4 daily, but ideally, if you can drop off donations in the morning we can circulate them to our students before the end of the day! We will gladly accept items that can sustain shelf storage for 2-3 days (for example, onions, potatoes, tomatoes, carrots, cucumbers). Please ensure they are in good shape for our students. [cid:image001.jpg@01DAF249.FC77E060] Dear colleagues and friends, I am pleased to announce Rebecca Brooks as the Director of the Career, Community and Experiential Learning Centre (CCELC). Rebecca has over thirteen years' experience in post-secondary education and has held progressive leadership roles at the Manitoba Institute of Trades and Technology, which included Dean of Academic Programs. Recently they were the Team Lead for Programs and latterly for Teaching Initiatives and Innovation at the UM's Centre for Advancement of Teaching and Learning. Rebecca holds Bachelor of Arts and Bachelor of Education degrees from the University of Manitoba and a Master of Education degree from the University of Saskatchewan. They will be starting doctoral studies in Education this fall with a focus on inclusive assessment practices and its intersection with competency-guided learning. Rebecca's career in post-secondary has centered on experiential learning. This includes leading learner-centred EL program development; collaborating with industry and community partners to enhance and expand programming; embedding career development learning within academic programming; and developing and implementing competencies frameworks to enable the articulation of transferable skills between work, life and educational contexts. Rebecca was a vital partner in the development of the UM competencies framework. For the past three years they have worked collaboratively with Student Affairs on the Experiential Learning initiative and is well poised to take a leadership role in this area. Rebecca is a strategic leader and innovator and is adept at building partnerships and finding connections. They value relationships and take an empathetic, inclusive, and developmental approach to working effectively with colleagues and teams. I am thrilled that Rebecca will be joining CCELC and the Student Engagement and Success leadership team within Student Affairs. Their official start date is August 26. Hi All, Please see the message below from Jim Honeyford and Monique Dumontet from Academic Learning Centre The Summer University Advantage Arts 1110 course that starts later this month has space available and we're wondering if it might help to remind advisors (FYC and elsewhere) about the course. The course runs for 5 weeks (July 22 to August 22), and it carries W credit, so it is very writing intensive. It would be a good fit for newly admitted students (no more than 6 credit hours completed when the course begins) who are in town/on campus, looking for a course to take, and ready to work hard for 5 weeks. Because of the unusual timing of the course, registration is handled differently than other summer courses; students must apply to the Summer University Advantage (SUA) program in order to be registered for the course. Dear Colleagues, I hope you are doing well. As we approach student orientation sessions and registration for the upcoming 2024-25 academic year, I wanted to bring your attention to a new course developed by the Faculty of Education; Introduction to Education: What does it mean to Teach? I know that our Communication Coordinator, Alejandra González had sent some information via your coordinators but thought I would share a bit more information about the course. The faculty will be offering two sections of the course this Winter (EDUB 1790 A01 and EDUB 1790 A02). The course has been approved for the RIC list and is open to all UM students seeking or thinking about a career in teaching. This course may be used for credit in a student's first degree subject to the regulations of their faculty however, it cannot be applied to the Faculty of Education's programs. Also note, that the grading scale will be that of the Faculty of Education. The minimum passing grade of C (70-74%) is required. There will be limited space (class maximum 35) as we want to ensure that the course offers ample opportunity for student engagement and exploration through in class learning groups. If you have students interested in a teaching career, they may want to register for the course as soon as their window opens. The course sections will have a wait list. The faculty has created a landing page where interested students can learn about the course, the course instructor(s) and hear from instructors about it. Science Advising Services during Machray Hall Redevelopment

Good Afternoon, Please share the following with your staff as needed. I am sure as you are all aware, the Faculty of Science advising office is moving! Beginning Tuesday, May 28th, we will be seeing students in our new location: 55 Chancellors Circle, room 404, for the foreseeable future as Machray Hall undergoes redevelopment<https://umanitoba.ca/science/machray-hall-redevelopment>. There will be a short disruption to our advising services while we re-locate. Starting on Thursday, May 23rd at 3pm, our office in 230 Machray Hall will be closed to students. Our phone queue will also be turned off at 3:00 pm on May 23rd until 8:30 am on May 28th. The outgoing message will direct students to various other supports on campus. Deferred exams and final Admissions Document deadlines

Our understanding in Admissions is that last year there was a significant increase in deferred exams due to the new policies in place. At times students applying to professional programs forget that deferred exams might affect their admission. As you are meeting with students who are requesting deferred exams, we would ask that you remind them that if they are applying to any profession undergraduate programs they should do the following: 1. Applicants must inform the Admissions office via email to their program admissions address if they are writing a deferred exam (i.e. admissions.engineering(a)umanitoba.ca<mailto:admissions.engineering@umanitoba.ca> or admissions.dentistry(a)umanitoba.ca<mailto:admissions.dentistry@umanitoba.ca> etc.) 2. Admissions will need to know the course, the date the exam will be written, and when the grade can be received. 3. Deferred exams must be written, and the marks received in Admissions by the document deadline (typically June 1st). Document deadlines are posted in the program Bulletins. Below is the statement we have across all of our Bulletins: It is the applicant's responsibility to inform the Admissions Office in writing of any deferred exams or grade changes. All final grades, including grade changes must be submitted to the Admissions Office by the document deadline in order for them to be included in the final selection process. Grade changes will not be accepted after the documentation deadline date. If a grade is not available by the documentation deadline date, an 'F' grade will be used in the final admission determination and calculation. The UMAE is an excellent resource and networking opportunity for Academic Advisors and those who offer direct support to students through their time at UM. In past, Brigitte Wiebe provided facilitation support for UMAE and other advising initiatives. As University Advising Services now falls within Student Transitions and Success Centre, we have explored and developed a new model for the Advising Community to come together around advising initiatives, systems and tools, sharing best practices, professional development, etc. In the coming weeks, you'll be invited to a MS Team where we'll be able to store resources, share information and more effectively communicate with each other. As you may be aware, the upcoming exam period overlaps with the conclusion of Ramadan and Eid al-Fitr. The UM Spiritual Care & Multifaith Centre is offering the following information that we hope is helpful when responding to students who are making deferred exam requests due to their observance of Eid: * Ramadan begins on March 11th, [1] culminating with Eid on April 10th this year (note- the dates vary year to year and may not always overlap with the final exam period). * During this time, students will be fasting during the day (no food or drink), only breaking their fast daily at sundown (approx. 8:00 p.m.). [2] For exams scheduled in evenings that may overlap with this, students should be permitted to defer exams or, if they choose to write the exam, be allowed to eat and drink accordingly. This could vary from student to student. * In addition, sleep is greatly impacted as individuals will be waking at 5:00 a.m.[3] daily and also engaging in nightly prayers. In combination with the daily fasting, this can contribute to feelings of fatigue and difficulty concentrating, which may impact their ability to write morning exams. * Finally, Eid is the most important holiday in the Muslim calendar and should be considered in the same way as Christmas Day or Good Friday. Muslim students should not be expected to write exams on this date. Please note that there is some division in the Muslim community about which date Eid is to be celebrated on, with some celebrating on April 10/11 and others on April 11/12 or April 12/13, depending on the sighting of the New Moon. If you receive deferred exam requests on these grounds, they should be considered valid circumstances. Happy Friday Everyone, I am pleased to share that Justin Bouchard has accepted the position of Academic Advising Data Visualization Specialist in the Student Transitions and Success Centre. As a longtime UM employee, and through his various roles (Dean of SJC Residences, Student Advocate, Academic Advisor in FAFS, and in the project for this role), I expect Justin is familiar to many reading this message. I am pleased to welcome him (permanently) to the Student Transitions and Success Centre, and back to the Student Affairs family. As the role is new, I'd also like to share a bit about the position and the work Justin will be doing. The Academic Advising and Data Visualization Specialist has two main responsibilities: (1) delivery of academic advising within the Student Transitions and Success Centre (STSC) and (2) development and implementation of academic advising tools and systems across the UM advising community. The position explores and furthers initiatives that support UM student retention and progression, including identification of student populations for whom intrusive academic advising strategies would be of benefit. In partnership with UM units and departments, including Student Affairs, faculty, and other advising offices, Justin will engage in data analysis activities to develop and implement analytical models in order to influence and support evidence-based academic advising strategies and best practices. Justin will continue his work (from the pilot position), including development and maintenance of user-friendly systems (eg, new DW process), interactive visualizations and dashboards, and data analysis in support of the UM advising community. NACADA Region 6 Manitoba Liaison

Hello, My term will be up as the Manitoba Liaison for NACADA Region 6<https://nacada.ksu.edu/Community/Regions/Region-6.aspx> at the end of March 2024, and we are looking for someone else to take over for the 2024-2026 term! I have served 2 consecutive 2-year terms, and it's been a wonderful learning experience with a lot of professional development with some very motivated advisors across the region. The time needed to be a part of the steering committee is very manageable, with there being a 1-hour virtual meeting once a month and some planning/goal-setting documents to review and contribute feedback to. Region 6 is a great team, and I'd highly recommend that anyone who is interested in getting some more experience with committee work and some professional development consider this opportunity. New Aurora Demo Video

Hi everyone, The Aurora Modernization Project team spent two weeks in November talking to students and gathering input to help shape the New Aurora system. At various locations, Pop-Up booths provided students with a video preview of the New Aurora hub and an opportunity to share feedback through a short survey. We received a lot of positive feedback from students based on what they saw in the video and heard ideas about which functions would be most helpful. Ultimately, we heard a lot of excitement about a new interface that is mobile-friendly. We would like to share the same short demo video with the Advising community, so encourage you to watch it on the Aurora Modernization Project SharePoint<https://umanitoba.sharepoint.com/sites/um-intranet-aurora-modernization-pro…> site. The go-live plan will be a phased approach to rolling out new functionality for students in 2024, likely starting in March. This means that there will be incremental changes throughout the coming year. More details will be provided as the plan is developed and we will be working on opportunities to provide more details about what things will look like and how they will work. Important update VAHC hours - Winter 2024

Hi everyone, Hope you are doing well. I wanted to give you a heads up about a change in the work hours of Virtual Advising Help Centre. From the beginning of the winter term(January 2024), we will be only available during the regular UM work hours i.e. Monday through Friday, 8:30am-4:30pm. This means VAHC will be closed during the evenings and weekends. We're changing our work hours because we have noticed significant drop in our evening and weekend traffic.
