Faculty of Education Announcement of Introduction to Teaching Course- Information for Academic Advisors

Dear Colleagues, I hope you are doing well. As we approach student orientation sessions and registration for the upcoming 2024-25 academic year, I wanted to bring your attention to a new course developed by the Faculty of Education; Introduction to Education: What does it mean to Teach? I know that our Communication Coordinator, Alejandra González had sent some information via your coordinators but thought I would share a bit more information about the course. The faculty will be offering two sections of the course this Winter (EDUB 1790 A01 and EDUB 1790 A02). The course has been approved for the RIC list and is open to all UM students seeking or thinking about a career in teaching. This course may be used for credit in a student's first degree subject to the regulations of their faculty however, it cannot be applied to the Faculty of Education's programs. Also note, that the grading scale will be that of the Faculty of Education. The minimum passing grade of C (70-74%) is required. There will be limited space (class maximum 35) as we want to ensure that the course offers ample opportunity for student engagement and exploration through in class learning groups. If you have students interested in a teaching career, they may want to register for the course as soon as their window opens. The course sections will have a wait list. The faculty has created a landing page where interested students can learn about the course, the course instructor(s) and hear from instructors about it. We will be updating this page regularly as we develop new content. We are currently working on information about our second instructor and it should be available soon. I'm reaching out to you to highlight availability in St John's Residence (located centrally on campus at 17 Sifton Rd.) and to ask if you would be able to assist in encouraging your students to consider our Residence. About St John's Residence St John's Residence is a small, 100-bed community-focused on-campus residence. Each year the Residence hosts a diverse mix of students for all faculties studying at both undergraduate and graduate levels, along with occasional post-doctoral researchers and visiting scholars. The Residence features single-occupancy rooms and includes a comprehensive meal plan, offering students a home away from home where they can feel safe and secure, and focus on their academic studies. The community includes students of all ages and locations, including those from Manitoba, other provinces, and other countries. A well-trained student staff of Residence Dons are on-call every night, ready to respond to emergencies, and counsel students through issues such as homesickness, interpersonal conflict, and connecting with on-campus resources. Science Advising Services during Machray Hall Redevelopment

Good Afternoon, Please share the following with your staff as needed. I am sure as you are all aware, the Faculty of Science advising office is moving! Beginning Tuesday, May 28th, we will be seeing students in our new location: 55 Chancellors Circle, room 404, for the foreseeable future as Machray Hall undergoes redevelopment<https://umanitoba.ca/science/machray-hall-redevelopment>. There will be a short disruption to our advising services while we re-locate. Starting on Thursday, May 23rd at 3pm, our office in 230 Machray Hall will be closed to students. Our phone queue will also be turned off at 3:00 pm on May 23rd until 8:30 am on May 28th. The outgoing message will direct students to various other supports on campus. However, if there is an emergency/time sensitive situation and a student needs our assistance, please email Kathy Synkiw<mailto:Kathy.Synkiw@umanitoba.ca> and we will do our best to address the situation. Deferred exams and final Admissions Document deadlines

Our understanding in Admissions is that last year there was a significant increase in deferred exams due to the new policies in place. At times students applying to professional programs forget that deferred exams might affect their admission. As you are meeting with students who are requesting deferred exams, we would ask that you remind them that if they are applying to any profession undergraduate programs they should do the following: 1. Applicants must inform the Admissions office via email to their program admissions address if they are writing a deferred exam (i.e. admissions.engineering(a)umanitoba.ca<mailto:admissions.engineering@umanitoba.ca> or admissions.dentistry(a)umanitoba.ca<mailto:admissions.dentistry@umanitoba.ca> etc.) 2. Admissions will need to know the course, the date the exam will be written, and when the grade can be received. 3. Deferred exams must be written, and the marks received in Admissions by the document deadline (typically June 1st). Document deadlines are posted in the program Bulletins. Below is the statement we have across all of our Bulletins: It is the applicant's responsibility to inform the Admissions Office in writing of any deferred exams or grade changes. All final grades, including grade changes must be submitted to the Admissions Office by the document deadline in order for them to be included in the final selection process. Grade changes will not be accepted after the documentation deadline date. If a grade is not available by the documentation deadline date, an 'F' grade will be used in the final admission determination and calculation. If you have any questions about our process or regarding a specific student, feel free to contact our office. Hello to the UM Advising Community! It's been some time since we've had the chance to come together to share, learn, and grow our advising toolkits. The UMAE is an excellent resource and networking opportunity for Academic Advisors and those who offer direct support to students through their time at UM. In past, Brigitte Wiebe provided facilitation support for UMAE and other advising initiatives. As University Advising Services now falls within Student Transitions and Success Centre, we have explored and developed a new model for the Advising Community to come together around advising initiatives, systems and tools, sharing best practices, professional development, etc. In the coming weeks, you'll be invited to a MS Team where we'll be able to store resources, share information and more effectively communicate with each other. As you may be aware, the upcoming exam period overlaps with the conclusion of Ramadan and Eid al-Fitr. The UM Spiritual Care & Multifaith Centre is offering the following information that we hope is helpful when responding to students who are making deferred exam requests due to their observance of Eid: * Ramadan begins on March 11th, [1] culminating with Eid on April 10th this year (note- the dates vary year to year and may not always overlap with the final exam period). * During this time, students will be fasting during the day (no food or drink), only breaking their fast daily at sundown (approx. 8:00 p.m.). [2] For exams scheduled in evenings that may overlap with this, students should be permitted to defer exams or, if they choose to write the exam, be allowed to eat and drink accordingly. This could vary from student to student. * In addition, sleep is greatly impacted as individuals will be waking at 5:00 a.m.[3] daily and also engaging in nightly prayers. In combination with the daily fasting, this can contribute to feelings of fatigue and difficulty concentrating, which may impact their ability to write morning exams. * Finally, Eid is the most important holiday in the Muslim calendar and should be considered in the same way as Christmas Day or Good Friday. Muslim students should not be expected to write exams on this date. Please note that there is some division in the Muslim community about which date Eid is to be celebrated on, with some celebrating on April 10/11 and others on April 11/12 or April 12/13, depending on the sighting of the New Moon. If you receive deferred exam requests on these grounds, they should be considered valid circumstances. Charge Ahead Peer Mentor Support

Hello UM Advisors! Charge Ahead is up and running again for the Winter 2024 term. There are 24 appointment slots available each week, so students are likely to find an appointment time that works for them. We have three undergraduate mentors and one graduate mentor available. The mentors are also running a workshop series on Tuesdays (1:00-2:15) from January 23 - February 14. Happy Friday Everyone, I am pleased to share that Justin Bouchard has accepted the position of Academic Advising Data Visualization Specialist in the Student Transitions and Success Centre. As a longtime UM employee, and through his various roles (Dean of SJC Residences, Student Advocate, Academic Advisor in FAFS, and in the project for this role), I expect Justin is familiar to many reading this message. I am pleased to welcome him (permanently) to the Student Transitions and Success Centre, and back to the Student Affairs family. As the role is new, I'd also like to share a bit about the position and the work Justin will be doing. The Academic Advising and Data Visualization Specialist has two main responsibilities: (1) delivery of academic advising within the Student Transitions and Success Centre (STSC) and (2) development and implementation of academic advising tools and systems across the UM advising community. The position explores and furthers initiatives that support UM student retention and progression, including identification of student populations for whom intrusive academic advising strategies would be of benefit. In partnership with UM units and departments, including Student Affairs, faculty, and other advising offices, Justin will engage in data analysis activities to develop and implement analytical models in order to influence and support evidence-based academic advising strategies and best practices. Justin will continue his work (from the pilot position), including development and maintenance of user-friendly systems (eg, new DW process), interactive visualizations and dashboards, and data analysis in support of the UM advising community. NACADA Region 6 Manitoba Liaison

Hello, My term will be up as the Manitoba Liaison for NACADA Region 6<https://nacada.ksu.edu/Community/Regions/Region-6.aspx> at the end of March 2024, and we are looking for someone else to take over for the 2024-2026 term! I have served 2 consecutive 2-year terms, and it's been a wonderful learning experience with a lot of professional development with some very motivated advisors across the region. The time needed to be a part of the steering committee is very manageable, with there being a 1-hour virtual meeting once a month and some planning/goal-setting documents to review and contribute feedback to. Region 6 is a great team, and I'd highly recommend that anyone who is interested in getting some more experience with committee work and some professional development consider this opportunity. New Aurora Demo Video

Hi everyone, The Aurora Modernization Project team spent two weeks in November talking to students and gathering input to help shape the New Aurora system. At various locations, Pop-Up booths provided students with a video preview of the New Aurora hub and an opportunity to share feedback through a short survey. We received a lot of positive feedback from students based on what they saw in the video and heard ideas about which functions would be most helpful. Ultimately, we heard a lot of excitement about a new interface that is mobile-friendly. We would like to share the same short demo video with the Advising community, so encourage you to watch it on the Aurora Modernization Project SharePoint<https://umanitoba.sharepoint.com/sites/um-intranet-aurora-modernization-pro…> site. The go-live plan will be a phased approach to rolling out new functionality for students in 2024, likely starting in March. This means that there will be incremental changes throughout the coming year. More details will be provided as the plan is developed and we will be working on opportunities to provide more details about what things will look like and how they will work. Important update VAHC hours - Winter 2024

Hi everyone, Hope you are doing well. I wanted to give you a heads up about a change in the work hours of Virtual Advising Help Centre. From the beginning of the winter term(January 2024), we will be only available during the regular UM work hours i.e. Monday through Friday, 8:30am-4:30pm. This means VAHC will be closed during the evenings and weekends. We're changing our work hours because we have noticed significant drop in our evening and weekend traffic.
