Hi all.
As instructed, I have been working to secure more rooms at the Fort Garry. The only had additional 30 rooms to add to our block, giving us a total of 65 rooms (with an additional 35 at the ALT Hotel). I went ahead with a revised contract.
However, the attrition terms are different: once signed the renewed contract will leave the conference on the hook for 75% of the total for the rooms blocked on our peak night, for any rooms cancelled within 3 to 1 months before the booking date. However, this will guarantee our attendees a rate of $159/night.
The new contract would mean we have a total of 100 rooms blocked off, which does not seem like too many to me, but I ask for your thoughts.
If we think we would like still more rooms, I can enquire with the ALT, and if needed a third hotel.

Hi All.
Just a quick message to say that the hotel contracts have been signed with the ALT Hotel and the Fort Garry, though I am still awaiting a countersigned copy from the latter.
In the end, I settled on charging 17 rooms at the ALT Hotel on a Master Account, meaning the conference will be paying for these rooms. This number accounts for the graduate students (10), post-docs (5), and two precariously employed participants. All of the other rooms are reserved for us but the conference-goers will be responsible for all the costs. This seemed a good compromise between the Conference Committee's commitment to assisting participants and certain fiscal realities. Should we eventually find ourselves awash with money we can always step in to pay for others. But for now things are neatly contained.
Conference participants will need to reference certain codes when booking in order to get the conference rate. They are as follows:
ALT Hotel: Group Code: 1919WGSCC (when booking online); 1919 WGSCC Organizing Committee - 5749794 (when booking by phone).
Fort Garry: Group Code: 1136BD.

Hi all,
I have the contract from ALT Hotel but am still awaiting the one from the Fort Garry. The numbers are as reported at our last meeting. I would, however, like this committee's input regarding the number of rooms the conference is going to commit to providing for certain participants. In the budget justification for the original SSHRC application, we indicated that we would be providing accommodation for 36 participants according to my tally, (10 Roundtable presenters; 10 grad students; 5 emerging scholars; 5 postdocs, and 6 community partners/activists).
Are we still committed to providing accommodation for these groups, and/or have any of the numbers been affected by the programming changes?
If we are so committed and the numbers are in fact 36, I can see about adding one room to this block and we can set up a master account to provide accommodation for all our presenters at the ALT Hotel. As I recall, this was suggested by Jim M at our last meeting. This would leave the Fort Garry to provide rooms for those paying their own way.
Does this sound about right? I am up to date on various developments and still on the right page? Please advise.
