VR colleagues,
In order to increase online chatting security and focus resources on our prime user group (students, faculty and staff), we are going to implement an authentication layer to the AskUs widget. Therefore, UM users will need to log in with their UM email address. After logging in, users can start chatting with the VR team. The current pre-chat form will no longer be needed. The authentication will be using single-sign on with UM Active Directory.
With this change, online chatting will be only provided to UM students, faculty and staff. An enquiry link for Non UM users and visitors will be added to the AskUs widget under the "WRHA virtual library help" item.
We plan to make the change to the AskUs widget on Monday, August 22nd.

Hi All!
Just a reminder as people start to ask about having items renewed….
Library systems will NOT be renewing items in bulk any longer.
Any items taken out during or before December 2020 MUST BE RETURNED by their due date. If patrons wish to still have these items, they will need to bring them back physically, and have them returned then they can take them out again.
We are moving back to regular item policies for these things, where people only get to keep books for a maximum of ONE YEAR. (three renewals.)
Any patrons who took items out in this time frame were sent a notice over the summer informing them that A) if an item was recalled it needs to be returned in the 7 day time frame and B) that we are no longer doing bulk renewals and items loaned in Dec 2020 or prior to Dec 2020 needed to be returned to the library by their due date of mid December, 2021.
I’ll be making the new End of Term date in Alma today, so items that are allowed to be renewed (items that have been on loan for less than one year) can be, (and of course staff/Faculty have indefinite renewals) but all other items must be physically returned to the Library or they will go to LOST.
This is the notice they were sent in August.

I wanted to send this message along because I’ve been contacted by some patrons directly and three staff members have also run into this issue and asked about it since Friday.
Alumni Patrons Who Have Items Due (and cannot renew them)

If you have a patron ask you to renew items due Dec. 18-31st, saying they cannot log in to do it, and you look up their account and see something like the above: it’s because they are no longer a valid “student” at the U of M. Either they are not taking classes (In which case they really need to return the materials if it’s safe to do so and they are able) or they graduated and they need to apply for Alumni Status.

If you look up the patron and they have an external account type (meaning their password is stored in SignUM) and they have the user group Alumni, then they need to sign in to SignUM and apply for Library Access.

I check the queue of people needing this account changed daily in SignUM, in the morning. If I know that someone has applied, I’ll look again for them as well.
Once they are properly configured, you’ll see something like this:

At that point (takes about 15 minutes from when I approve the account) you will be able to change the due dates for their items to April 30th; the Management Group approved Date.
Please remember, you have to have graduated from the U of M in order to be Alumni. The patron is responsible for contacting the Alumni Association and supplying us with their alumni number. Instructions are included in their library welcome letter that I send when they apply, as well as in the LibGuide. Their Alumni Number is not their student number.
If you have any questions about accounts (because it’s all a huge jumble!!!) please do not hesitate to ask! There are so many exceptions and “well usually we do … but this year…” right now that it’s OK to be confused! I just wanted to remind everyone about Alumni accounts so that we can get patrons up and running as fast as possible.

The HathiTrust recalls were all complete last Wednesday. Then we moved to Code Red for Friday…
Just as a reminder, patrons do NOT have to return these items. If they have any reason to not return them, they just don’t need to.
Tell them NOT to worry, there will be no fines, etc on their accounts.
What I will be doing on Nov. 16th is removing any items that are still on loan on Nov 16th from the HathiTrust collection. These will go Megan who will remove them from the files. They would be removed from HT online access for December.
I will move them back to their home locations the week of Nov. 16th and then renew them all.

There are questions coming through the VR Ask Us about due date changes for items.
Here is the backstory:
-HathiTrust physical items were supposed to be recalled for September. There was an issue with the bulk due date change tool. It wasn’t changing any of the HT items for me. I put in a high priority case in August with Ex Libris.
-Last Thursday I was informed that the Bulk Due Date tool will only change the due dates of items loaned out in that library. None of the items currently in the “electronic resources” library were loaned from that location, so, I had no way of bulk updating the due dates.
-Yesterday, 14 volunteers started manually recalling (changing the due date) for HathiTrust items. These items MUST be returned. The due dates put on them should be Monday Nov. 16th.
-Regarding this change, the following information was sent out back in August when the initial recall should have happened:
“We have enacted recalls of items that are in Hathi trust and the patrons should be returning the physical book and then they can access it electronically using the link that is in the recall notice. If they are unable/having a hard time returning their items then you can pass them onto a supervisor, we will work out those on a case by case basis. Any other questions just throw me an email.” (Candice Lewis, August 25th)
I modified the letter that should have been sent to patrons regarding the items in HathiTrust. It was supposed to have a link in it, telling them how to find the electronic version of the title. But again, even though I tested it, the letter uses the library the item was LOANED from, not the library it is currently in. The only way for the letter to format a search link is for the information to pass on the hathitrust location from Alma.
What this means is that the link is not coming through.
If patrons ask why they need to return the items, please let them know that we have to have the items returned at this time, and that it is available online if they search the title. If they are having an issue, IE they are not in this country right now, they are in another province, their building on campus is currently under construction ….
What to tell patrons when they ask why they have to bring those items back:
“The item you have on loan currently can be found online using the “full text available at HathiTrust” link in Library Search on our homepage. Search the items’ title to find the link. More information can be found here: https://libguides.lib.umanitoba.ca/getitforyou. Look under “Get it Digitally”.”
If they have reasons why they cannot return those items by Nov. 16th, please refer them to a supervisor, or to myself.

It seems there is a problem with LibChat. The chat server cannot be connected. I have contacted SpringShare regarding this issue but do not have a timeline about when it will be resolved. I will keep you updated.

Hi Everyone
I’ve added a pull down menu to the Ask Us widget in Primo that asks the patron to identify their “user group”. Although providing this information is optional, this feature was added to help Ask Us staff know a little more about who they are talking to without requiring the patron to disclose additional personal information that we wouldn’t normally request in a chat interaction.

We are going to give this a try and see if it has any impact on patron use of Ask Us.

Effective immediately, UML has a new way to access and download LexiComp Mobile (available via app). In past years, applicants would have to submit a paper application and wait a day or two to verify that they were entitled to access. Users will now be able to get immediate access to the app provided they are affiliated with UM and use their UM email address (umanitoba.ca OR myumanitoba.ca).
There may be a lot of questions about this at the desk or via VR as the 2019 licenses are due to expire shortly. As we still only have a limited number of licenses we are not advertising it broadly as we now do not have a way to verify whether they are health sciences people, but info and instructions are available on our Apps page (https://libguides.lib.umanitoba.ca/c.php?g=297748&p=1990907). The licenses are still only valid for 1-year and only one device per email address will be allowed.
