UMPlan - Compensation Calculation Issue

Good afternoon, It was brought to our attention that UM Plan was incorrectly calculating the 2025-26 compensation budget for employees in EMAPS positions. Updates have been entered in the "Unit Adjustment" field in UMPlan for the impacted employees and compensation budgets will recalculate overnight (or if/as you click save on various compensation forms while you continue to work on your budget after the updates). Please review your budgets tomorrow, with a particular focus on any funds where you may have already balanced revenues and expenses as adjustments may be required to re-balance. Note: UM Plan has been upgraded with a new look and feel called Redwood Experience. The following is a list of some of the new features; * dynamic tabs, can now have multiple tabs open. * quicker response time. * automatic data refresh when changing POV, no more GO button. To access reports, click on the Report icon on the Home page, then click on the second icon in the menu bar on the left side (i.e. Financial Reports). You still have the ability to filter the reports by Flat View (summary list) or by Tree View (sub folder). UMPlan update - New Home Page

Good Morning, Please be advised that effective Friday, April 17th, there was an update to the application interface which includes a new look and feel for the UMPlan Home Page. The Welcome panel and tiles will now readjust on the Home Page to provide maximum screen coverage, which means less scrolling. Note that some tile colours have also changed, however the tile groupings and descriptions remain the same. The upgrade also includes a larger Navigation Menu to improve usability and a larger work area for better visibility. Below is a screen shot of the new Home Page. Good Afternoon, The following is a status update regarding the data issue with the 2.10 Non_Employee Based Compensation Costs form. After further investigation it was determined that an issue occurred on November 15th which caused the loss of data entered in the 2.10 Non_Employee Based Compensation Costs form. The data has now been restored using a backup copy from November 13th. However, any data entered between November 13-19 will need to be checked and possibly manually re-entered. To assist with this process, those that are affected will receive a follow-up email containing an Audit report that includes a listing identifying the data that was affected. The follow-up email will be sent out tomorrow morning. If you do not receive a follow up email and audit report, no further action is required for your units on this issue. VIP data as of September 30 has now been seeded to UMPlan. One of the first steps in building your compensation budget should be to review the employee GL account association tile within the compensation cluster, and add accounts for any employees/positions that do not have a GL account associated (those with a difference highlighted orange). As a reminder, budget guidelines are available at http://umanitoba.ca/admin/financial_planning/6268.html UMPlan continues to treat all TBH Employees as a single employee and, therefore, spreads the CPP, and EI budget for those employees across all orgs/positions. A solution has been developed and is currently being tested. The ability to toggle between years and versions in "All Employee Details" (Form 2.22 Review Org Compensation - All Employees - Details) is currently being tested. This will allow users to review 2018/19 compensation budget detail directly in UMPlan. During the budget analysis and balancing phase, an effort has been made to ensure each Faculty and Central Support Unit is allocated a budget consistent with the budget guidelines shared at the start of the 2018/19 budget process. Based on this analysis, as well as the explanations provided for the variances between the budget entered and what was expected for 2018/19, several units have been asked to make adjustments to their budget. UM Plan is open for adjustments. * Business Managers of units expected to make adjustments received an email on Friday March 2, 2018 with instructions to update their budgets in UM Plan by end of day Thursday March 8, 2018. * Other units that wish to make adjustments that do not change their overall budget request (e.g. moving budget between FOAs, updating position numbers, etc.) may do so within that timeframe as well. * If you are adjusting salaries, please take care to consider the auto-calculated benefits. After all adjustments are made to Faculties and Central Support Units, allocations will be re-run so Faculties will be able to see the impacts to their net budget. The resulting budget will be reviewed by the Provost and Vice-President (Academic) and the Vice President (Administration) and further decisions will be made to achieve a balanced budget. This has been a year of significant change, not only in how the budget is prepared and by whom, but also with what is included and excluded in unit budgets. 2018-19 Operating Budget Development Update

The following message is sent on behalf of the Financial Planning Office ________________________________ This is a follow up to the message that was sent on Friday February 2nd, and is intended to provide more detailed information about the system update, as well as provide information related to recent changes made to revenue allocations. The compensation change resulted from TBH positions/salaries that were deleted by users in the compensation forms in UM Plan without clicking save. As a result, the positions were deleted in the compensation tables but that change wasn’t pushed over into the consolidated tables. A setting in the “overnight batch” procedures was updated which caused the impact of the deletions to be properly reflected in the compensation tables. All units that were affected have been provided with details of changes by fund-org-account. There were also some changes made to the way the budgets for the Law and Engineering surcharges are handled. These surcharges were changed from allocated tuition to direct tuition which is not allocated. This is in line with the way similar fees are being handled. This change results in less revenue in the undergraduate tuition pool overall. This also had an impact on the EAL revenue allocation which is driven, in part, by the results of the tuition allocation. There will be another update to the tuition budget prior to the next allocation run which should bring most faculties’ allocated revenue up from where it is today. You can appreciate the complexities of all of the variables that make up this system and we appreciate your patience as we work through this. We will continue to keep you updated on our progress. The following message is sent on behalf of the Financial Planning Office ________________________________ Thank you for all of your efforts to date in developing the 2018/19 operating budget. Further adjustments will be required as we continue through the budget development process but some changes have been made that we would like you to be aware of: 1. A system defect was resolved that resulted in properly consolidating salaries that were entered in the compensation screens. 2. Several Central Support Units have reduced their original budget requests 3. UMPlan Overnight Data Refresh

The UMPlan system did not refresh properly overnight. For those who are currently working on your budget, this will result in expected new data not showing in the system for you such as budget transfers, VIP updates and chart of accounts information that were created or changed yesterday. Any updates or changes that you inputted and saved in UMPlan will not be impacted. The issue and resolution have been identified and the system is expected to refresh normally tonight. Good Evening The UMPlan system is now available for all clients; you can proceed to log in and continue work on your budget. The incidents experienced over the last few days were unrelated and each required the engagement of Oracle, our service provider, to apply a resolution. The UMPlan system is currently unavailable; individuals who were logged in are experiencing system errors and those trying to access the system are unable to. This incident is being treated with the highest priority; University of Manitoba resources are engaging the software provider for a resolution. We are happy to advise that all issues have been resolved and the planning and budgeting tool is now working as expected.
