To show output again Either: 1. Click on "Viewer" in tool bar and "Show Output" 2. Have your cursor active somewhere on the output (e.g. in the middle of help) and press ESC 3. Issue the command CLS (clear screen) and produce new output. The cls command is important every so often if you think the programme is slowing down. greetings. (1)Analysis doc. says default value of SET TABLE VALUE = OFF My Experience is that the command does not work at all. It is ON all the time and cannot be turned OFF or ON using the set command. (2) Analysis: when using Help: select (a) how to, (b) commands&func, (c) Intro when u select either of these u cannot get back to Analysis without first Quiting the program. Hi. I am trying to write a PGM in order to calculate the bed occupancy in a defined period of time. As dates can be converted to sequential integer numbers, I wrote the following, considering DATEADM (admission date), DATEDIS (discharge date) and AGE as database variables: * ---------------------------------------- DEFINE DATEMIN <dd/mm/yyyy> DEFINE DATEMAX <dd/mm/yyyy> LET DATEMIN = ? First date : ? LET DATEMAX = ? Second date : ? SELECT (DATEADM <= DATEMIN) AND (DATEDIS >= DATEMAX) FREQ AGE *----------------------------- After typing first date: 15/10/2005 (even "15/10/2005"), I get the error message: "Data type mismatch". If I type 15102005, I get "Invalid date", what sounds reasonable. But I can only entry the desired date when I type 75162, what is NOT the respective sequential number of days since 31/12/1899 ("EpiData handles dates as float-type numbers counting the number of days since 31/12/1899" as can be read in EpiData Help) What am I doing wrong? One way of getting other people to see problems is to have analysis creating random data with a combination of the command generate (which produces an empty data file) and the random functions. Then we do not need the attached files. The reason for NOT allowing attachments is that this is a very good way of protecting all on the list from virus spreading E.g. for the question from today run these commands: First: create a chk file with the labels: ....................... t.chk ................ labelblock label s 1 "London" 2 "Copenhagen" 3 "Madrid" 4 "New Delhi" 5 "Madras" 6 "Pretoria" 7 "Kiev" 8 "Hong Kong" 9 "Melbourne" 10 "Sao Paolo" 11 "Santiago" 12 "Ottawa" 13 "New Orleans" 14 "Bangkok" 15 "Honolulu" 16 "Havana" 0 "Oslo" 17 "Odense" 18 "Paris" 19 "Budapest" end end sitecode comment legal use s end sex comment legal 0 male 1 female end end ..... save the text above as t.chk ........................ ............ Whereas the last with the values turned on shows: set table value = on tab sex sitecode SEX SITECODE 0 male % 1 female % Total % 0 Oslo 25 {52.1} 23 {47.9} 48 {100.0} 1 London 26 {48.1} 28 {51.9} 54 {100.0} 10 Sao Paolo 26 {47.3} 29 {52.7} Which means that for crosstables there is apparently a sorting going on on the first column. Notice that the two variables sitecode and sitecode2 are of type numerical. If we instead had used string variables: define v2 __ v2 = string(sitecode) tab v2 * then the order of v2 would be sorted meaning the "0 oslo - 1 london - 2 sao paolo" sequence * but without the text. To remedy this the trick would be to say: v2 = " " + v2 if length(trim(v2)) < 2 Then a new "tab v2" would show the correct table ------------------------------------------ Lesson: Obviously more user control of sort order of cross tables is on the wish list. But the feature is not part of the current most wanted list from my point of view. We have been experimenting a bit with sorting, but it is not all that easy. By converting btw. variable types and turning values and labels on and off you can get a lot of control as it is now. A feature which is expected to be available later this year is to be able to take the text label from a variable and save in a string variable, e.g. v2string = label(sitecode) or v2string = string(sitecode) + label(sitecode) (this is not implemented now) An undocumented sorting feature is available - but will not be documented until I am sure how to control sorting. Users are welcome to use it. The table will be sorted in reverse numerical order. Administrative comments on recent issues on EpiData-List

Good colleagues. A few administrative issues: 1. The list has been set up to enhance communication by e-mail and to limit size of each posting. For users with fast internet size of a mail is not a concern, but for people on slow modem lines large mails creates large problems. So as of now the following rules guide the list: a. Attachments must be small b. Text in e-mail must be small. A combined limit of 25kb has been defined. A few days back a user attached a rec file with the size of almost 1mb which is far exceeding this size. Individual users can exchange large attachments outside the list directly as suggested by Jamie Hockin. 2. Only certain attachments are allowed, e.g. small rec, chk and qes files. 3. Minimise the number of lines when you answer or comment on other mails. If a user asks a question - then on the reply only keep the minimal part indicating the topic of the question and reply. Otherwise the complete originating mail can be repeated several times. 4. Bouncing. When a person has an automatic mail saying e.g. "I am out of office please ....." then when a notice from the list comes to that person a message is sent to the person. The automatic message is sent back to the list, which then replies to the user etc. So if no mechanism controls several hundred mails can bounce back and forth. Therefore some users will experience to be automatically signed off the list. This is not a censorship or similar but a mechanism to avoid that everyone gets many "I am out of office..." messages. If you are excluded by "bounce-control" then just sign on to the list again when you are back from the leave. Or maybe create a different e-mail account which you use for receiving list messages. 5. Write in a specific and short manner and protect your e-mail adress You should be aware that messages you send to the list are: - distributed to all members (currently nearing 200) - is kept as part of the archive and is available for searching on internet. So to minimise the chance that your e-mail is trapped and used in a virus spread do not write it directly if you wish to receive personal mails, but write something like xxx at yyyy zz or similar. instead of xxx(a)yyyy.zz 6. Only users who are members of the list can submit messages. The first message by a new list member is sent to list administrators for approval. We could turn this off, but it will result in advertisements or spam messages every so often. I assume list members appreciate the principles above, but I am willing to discuss some of them. Dear Jens and other friends of Epidata Team, I have just joined the list last week. First of all congratulations for the excellent software developed maintaining the simplicity of EPI6. Good graphic are good addition to that simplicity. Fine controls of percents in the Tables command are just superb. The wishlist is long and it takes lot of effort to fulfil that. However few suggestions; a. Multiple Bar Charts which can depict gender comparisons of a variable in the same graph. b. Freq command with switches such as freq v1 sum=v2, /n /p etc. c. Combine command. d. Freq command requires some corrections as simple freq command of a variable gives an error message "Too many categories". e. In the long run 3D graphic for appropriate data. greetings. i have atached a .rec file with 165,905 records, each 44 bytes. (1) it takes EpiAnalysis 10 seconds to open compared to instant availability in Epi6. why so slow? (2) using EpiAnalysis FREQ DATE resulted in error... "Too Many Catagories", no output. why??? (3) using Epi6 time for FREQ DATE was 1.9 seconds. slowness we can perhaps tolerate but no output on FREQ may be an issue. Using Epidata for a central server

Hello 1.About having a central server, please refer to the website and read the limitation of Epidata. 2.Well you can use the qes for data management or also use the option of preparing one data screen(rec file)and use the option of copy structure which is located at the tools menu.The advantage is that; 1. It is fast 2. There is no need to prepare another check. With these option, data entry staff can entry data for you and you have to merge them to have a collective data either at epidata or using spss. External reference for data entry: length limitation

Using COMMENT LEGAL function in order to select strings and get their respective codes from a separate REC file, I wanted to get CID10 codes and their respective Descriptions during data entry. In my parent CHK file you can see: DISEASE COMMENT LEGAL CID10.REC SHOW TYPE COMMENT CIDCODE END CIDCODE NOENTER END In my reference CHK file you'd read: DISEASE KEY 1 END CID10 KEY UNIQUE 2 END It's working fine, except that, in the pop-up window of reference the description of DISEASE is shown length limited to 30 characters, despite of my reference REC file showing 70. Well, Megan. As I know, simultaneous entries are not possible. I have been using EpiData in clinical research and constantly dealing with multiple users input. Right now I am creating a set of files to be used for a multicenter study about Neonatal Care Units (up to 50). What I do is to distribute sets of REC/CHK files (named specifically after each center) and recover the filled REC files through the use of a Web based free, but access-limited Group (like Yahoo Groups), what turns to be a additional backup system for my precious files. Having different files make it possible to first check the adequacy of each file before combining them. Combine files is quite fast and easy. Hope it helps. Dear Megan: I can tell you a bit about our experience with multiple users in different countries we have had. We use one original set: original.qes original.rec original.chk Once this is definitively agreed upon, we use Copy structure (including the check file) to get: a.rec a.chk b.rec b.chk .. as many as we need and give one pair to each user (actually in duplicate for double entry). They enter the data at their leisure and then email the validated *.rec files. Because these files are so small, this can be done from even the slowest email connection (which matters to us as we work in some of the poorest countries). In EpiData Analysis, we simply do: close erase "abcd.rec" read "a.rec" append "b.rec" append "c.rec" append "d.rec" savedata "abcd.rec" close read "abcd.rec" People in the periphery simply continue to enter data into a.rec or b.rec and send so and so often the updated file, and the coordinator runs the append.pgm again. We did this with 30 locations in Zimbabwe collaborating with 31 locations in Mongolia, with a similar set-up for Moldowa collaborating with Uganda, and we never had a need for a central server. Email did just fine. A file with 58,000 records and and 9 fields took just 2 MB. I hope this helps a bit with that part of your question. Regards, Hans Rieder

Remote Entry, Multiple Users, Long Text Fields

Hello, I am a political scientists but used to work with public health people at The Carter Center. I am comparing EpiData, SPSS Data Entry Builder, and File Maker Pro as options for entering media incident reports of election violence. I am interested in "epidemiology of political violence" and eventually plan to map incidents. I am leaning toward Epi because it is freeware and many other great qualities, but a couple of questions remain: (1) I would like to have people entering data at the same time from multiple locations. Is it possible to have a remote and immediate data deposit on a central server via the web using EpiData? If not, how have people handled data management when field staff enter data? Do they just use the same .qes and then send the .rec files periodically, which are appended. Are there any problems with this method? I was thinking of setting up a web site where people could upload their files, then I would combine them. (2) I am a bit confused about text fields. Is it possible to enter open-ended questions and narratives (paragraph length)? This is what is attractive to me about SPSS DEB. They have remote entry as well as long text fields. How to go for new record if you have two parts in EpiData?

Hello! I have database made of two parts. When we finish data entry in "part 2", instead of moving to new record file, and we expect to see part 1, we get new record file in part 2. Example: when we enter questionnaire number 1-part 1. Then part 2 opens for the same questionnaire 1. At the end of part 2, instead of moving to questionnaire 2 to start doing data entry, it gives us new record file under part 2 for questionnaire 1. Any advice(s)? Thank you in advance! I have a problem with results of calculation during double entry. During > double entry, all calculations give same results as first entry except only > for few subjects. With the next build of EpiData Entry these errors should be fixed. For the finding of errors it would be very good if users could supply us with the rec+chk files giving problems. If someone as indicated on the list recently have examples creating problems please provide them for us for testing. The known issues to settle are: 1. Sometimes the double entry verification does not move on to the next record (problem with range definition in last field) 2. The calculation error indicated today. Send the files as zipped files (e.g. with few records, say 2-5) to info @ epidata.dk with a clear subject indicating that this is not spam, e.g EpiData test case for finding double entry problem. 2. Exporting to SPSS from old to new version of EpiData. The EpiData file format has not changed apart from the addition of encrypted fields and <yyyy/mm/dd> fields What most likely cause your problems is that the setting of "variable name" as first word or automatic was different on the two computers. Also for export to SPSS you do not need the QES file, but the chk file (definition of value labels and missing data) + the rec file (definition of fields, variable labels and all of the data). regards Jens Lauritsen EpiData Association

Hi, I have a problem with results of calculation during double entry. During double entry, all calculations give same results as first entry except only for few subjects. I checked my formulae with other software and they look OK. This bug is not systematic thats why I have difficulties finding errors. I dont understand why this bug appears only for few subjects. They have not the same characteristics. Who can tell me what king of error it could be, because I dont know anymore what to looking for? Another form of solving a corrupted file is to use statransfer(a statistical software that enhance file transfer from one format to other eg. from spss file to rec or any other file)with this software you transfer the file back to rec and it will solve your problem. How to: Recapture a corrupted file

In some versions of some computers open files can get "messed" up if power is suddenly lost. Over the years we have strengthened EpiData Entry with several alternative mechanisms to try to avoid problems in this situation (e.g. only one record at a time is in memory. The rest is on the harddisk or floppy.). But despite this the error have been reported at rare instances. Also over the years I have seen files from this situation which was a combination of a rec datafile, a word document and a presentation or drawing. In other words this is part of a operating system problem. How to resolve ? If a corrupted file message is given you can do the following: Manual repair of corrupt files: 1 Make a second copy of your REC and CHK files and do the following (MAKE SURE IT IS A COPY !!!): 2. Verify that YOU HAVE THE ORIGINAL CORRUPTED file in a separate place. 3 Open the extra copy of the REC file in any ascii editor (e.g. notepad.exe). 4 Make sure you are using a fixed font. 5 Look for records with strange or odd formatted records and delete the complete record (Make a note of which one such that you can re-enter it later in EpiData) 6 Delete the parts with a strange format. 7 Pay particular notion to length of lines. All records should show same pattern. 8 Save the file and try to open in EpiData. If you think the above is hopeless - then try to regain other documents or files that were also open at the time, e.g a spreadsheet, a text document or a database from another programme than EpiData. A good recovery strategy when something goes wrong is: 1. Ask yourself "When was I in control the last time" 2. What did I do since I was in control of the situation. 3. What might I have done wrong since the control. 4. What was I intending to do at the time when I felt no longer in control of the situation. 5. Do I think the "loss of control" is due to a software error, a hardware (e.g. harddisk broken) error or a user error ? 6. How much work should I repeat to continue working from my last backup of all data (I assume you do have a copy somewhere). 7. Can I repeat the steps from the "in control situation" to the "out of control situation" and the same thing happens every time. If you can answer these questions you have a very good clue for the solution or the appropriate information to tell someone who can assist you - e.g. other users on this list. How to: What do I do when Installation says "Unknown Publisher"

With Windows XP a new system has been invoked where software developers can add certificates to the software making sure from where a certain software comes. To get such a certificate for EpiData costs some funding. Maybe it is worthwhile paying and maybe not. Another "running cost" without other aspect than having an external certification office, e.g. verisign telling that software from http://www.epidata.dk is certified to come from epidata.dk is maybe not needed. What users can do to certify that there is no problem in installing EpiData software and be sure that there is no problem with this is: 1. Always get copies of software directly from Http://www.epidata.dk 2. Add "Http://www.epidata.dk" to "trusted websites" in 2a - firewall 2b - instllation policy of the individual user PC 2c - installation and software policy of the institution. Until someone finds a "software publisher certificate" essential and wishes to fund the issuing of a certificate I think funding is better spent on development. So in short: When the installation message says "Unknown publisher" - if you downloaded the software from Http://www.epidata.dk/download.php you can say yes to the install. Double Entry problem with range control in last field/variable on form

With the very precise description: "Does anyone know of a workaround that would allow me to preserve error checking on the last variable without encountering this problem (short of changing the order the questions, which would confuse data enterers)...perhaps a way to hard code a record advance into the check file? " With such a precise formulation it is possible to remove the error - not by workaround. In other words - the discussion on the list is very important to outline problems and find where the exact cause of a problem is. When a precise reproducible description can be made - this points to a specific part of the programme which can then be fixed. The fix will be part of next release of epidata entry.
