"Then set as key" - embarrassed to admit - Still don't get it: Here's exactly what I do: 1. Define new project 2. Save as myfile (even tried without save first) 3. click on Dataform 1 4. Define field name IDNO Integer length 4 5. Apply, then close field properties pane 6. Select IDNO field with select tool (small boxes appear enclosing selected field) 7. Click on Dataform button (or menu item) - then choose Define key 8. Freeze - Nothing happens, not possible to define new dataform, not able to save or edit field, have to kill process in program manager (windows), small green plus sign when hovering mouse over field (OSX). Where do I go wrong? anyway: apparent program freeze should be replaced by error message if I do something in the wrong order, like for example: when I tried to add a child dataform first, i get the error message: must create at least one key first. When I do this, I do not get an error. MacBook Pro (2009, Core 2 duo) with OSX 10.9.4 (Mavericks with all current updates). So you have to do a Force Quit on your Mac? Have you checked the error logs to see if there is an error from EDM? I�e seen some errors at times that have been useful. Jamie, Actually, On the Mac (OSX 10.9.4, 8 GB RAM, i7), the program does not lock completely: All menu items are greyed out except "Epidatamanager" with it's submenu items i.e. Quit, so I can seemingly exit normally. But after trying to select "define key" every other program action is blocked. I am not so familiar with OSX, so browsing the system logs are not particularly meaningful to me, but I can copy if necessary. Similar problem in Windows 7, therefore I suspected trivial user error: Program behaves normally until select "define key": Then everything locks up. here the menu items are not greyed out. But clicking on "file" does not open submenu, the "x" in upper right corner is not red and does not respond, the program window is locked in position etc. However: in task manager, the EpiData Manager is reported as "running"(!) When terminating program in Task Manager, the enclosed EDM dialog box appears. text says: "Cannot quit this program because it awaits response from you. Click Cancel to go back to windows and check status of program, or click exit to terminate the program immediately and lose all unsaved data". Dear Jens, I have downloaded and testet EDM and EDC v 2.0.0.0 RC1 both extended and standard version, both Windows and OSX versions to test relational file structure I may have overlooked something obvious, but the program freezes when I try to define an integer or string field as key on the first dataform on a new project. I do not see te "relate" tab on the corresponding field property menu. The clinical example in the package opens and works as intended; on first opening the example file in Manager, the "relate" tab is visible, on reopening the file the tab seems to be gone. On data entry, the relate seems to work, though. Tested most thoroughly on WIndows 7 preofessional 64 bit SP1 (both 64 bit and 32 bit versions) on HP Intel i5 laptop, but seemingly same behaviour on Macbook Pro retina mid 2012 wirh OSX Maverick. EpiData Manager v1.4.4.6 -String fields

Hello List, is it possible to change not only the width but also the height of the string field (manager)? Depending upon the number of characters the field is widely increased to the right but not downward (no line break). However for the data entry it would be better/easier if the field was to be increased downward. I need a field with 1000 characters! Is that too much? regards, Marita

Relate - v2.0.0.0 testing

Quick testing of the test version of Manager & Entry Client with relational data forms was successful. I suggest that we be able to move to a child form without having to create a field that just provides the ‘switch’ to go. If we could allow relate to proceed on any value of a field, the jump to the child form would be much like it is now in classic Epidata. This equivalent to an unconditional jump (that is jump on value *). This way, the child form can be invoked as part of a logical flow of data entry without adding an additional field. Jamie

Dear all A major step in EpiData Project development has been taken during the past weeks and months. It has been rather silent on our point, but that was due to working intensively with relational data capabilities Today we have placed v2.0.0.0 of EpiData Manager as "experimental" here: http://epidata.dk/testing.php#alpha Notice move down. At the top you will find v1.4.4.5 Please experiment with building relational data bases and also "one dataform only" databases to verify function or find problems. An example clinical database with several dataforms is included in the downloads. Before releasing relational data function as a release for "real" projectdata the following is needed: a. Tests by many users (You) b. Development of reporting for multi-dataform projects c. Development of exporting of data in multi-dataform projects d. Fix any bugs reported We hope to fix any reported bugs and points b+c within the next 2-3 weeks. Dear all On June 11th we have released v1.4.4.5 of EpiData Manager as "pre release candidate" on this page: http://epidata.dk/testing.php at the top. (notice version) Minor bugs have been fixed and internal routines for various aspects of file management have been enhanced. In addition You may now append epx/epz files with the same structure. Append is found in the main menu in "Tools". Jamie, Thank you so much for helpful advice - your recipe works! :-) Defining custom command mycmd01 fas very helpful calculating hospital ward utilization starting av certain day: CMD mycmd01 count if (inndato <= aday) and (utdato >= aday) pct=$count/9*100 //Percent utilization of a 9 bed ward type "Beds occupied on @aday : @$count Percent filled : @pct" *** Next statement adds a line to aggregate file sday = sday + $count aday = aday + 1 end // repeating this command necessary number of times. To take this even further, I try to produce a SPC graph of utilization rate variation over time. I thought that I will need an aggregate file with 2 variables: Counting date (aday) and Count (of beds each day). I have tried to use aggregate command combined with repeating the CMD segment obove, but it fails. i have also tried to define a new REC file containing the two variables aday (or inndato) and beds=$count, and put this command into the mycmd01 block: append aday beds /file="aggfile.rec" I have trouble understanding the EpiDaat Process flow... Dear list, I am thinking of designing a monitoring system for a short-term community hospital ward with 9 beds Among variables are Patient ID indate (admission date) <dd/mm/yyyy> inhour admission hour ## outdate (discharge date) <dd/mm/yyyy> outhour discharge hour ## (not always recorded) Age, sex diagnose1, diagnose2 diagnose3, treatment elements etc. Does anybody have a hint on how I can monitor utilization rate, i.e. how many beds are occupied each day, and average utilization rate per week? Is there a chance to have an automatic value in a field depending on the entered value in another field, i.e: Field_1 (entered by user): "A" Field_2 (automatically filled with "K", when user has entered "A" in Field_1): "K" I could not find a possibility to realise this by JUMPS or in the EXTENDED register card. Epidata Entry Client Mac bug

Hi, I’ve been trying to use Epidata for data entry purposes. Excellent program! However, I noticed that in the current version of the Entry Client 1.4.4.2 the “Open” menu will not do anything (both on the drop down menu File->Open and the Button on the program). I downloaded the test version 1.5.1.0 and it seems to have the same bug as well. I can work around this by opening the file in Manager first and then opening it (as it shows in the “Open Recent ->” option). Otherwise it will not open a file. I don’t know if anyone has noticed this? I have been trying to see if I can use this for data collection. Thanks again for the excellent effort! Philip Ong, MD Baylor College of Medicine

the problem with exporting to SPSS i have a variable called angina which is coded as 1 and 0 for yes and no when i export from manager to SPSS, half the varaibels have 1 and 0 but the rest have values-such as 234, 253 etc Other variables also have most correct but some exported like that- another examples even the unique id for a 450 item data set has ~ 50 variables expoted as number 23456, 24567 etc?? jumps does not work with boolean

Hi What I want to do: make a jump if 0 is entered in the boolean field. My problem: It does not jump. If I have specified "0" (or "1") as the criterium for jumping, then it does not make the jump. Hello, In Manager, I do not understand the calculation of variables. I have a file with "birth date" and "date delivery" and "age" for the difference. and "weight" "size" and "BMI". When I click on the variable "Age" / edit / calculate, I can not find the variable "Age" for calculate the difference between two dates, but I see "BMI". On the other hand, on the variable "BMI" / edit / calculate, I do not find "BMI" but "Age" ..... New experimental version of EpiData Manager and EntryClient

A new experimental test version is available from http://www.epidata.dk/testing.php ----------------- Warning: Experimental versions create epx project files, which cannot be used in the public download version and cannot be read by EpiData Analysis. It is therefore crucial that you separate the testing of future functionality from everyday production use. It is also crucial that you accept that we cannot guarantee function in experimental versions, which allow usage in real projects. -------------------- Until today on the testing.php page an experimental version was placed with partial function of scripting as part of the epx definitions. The scripting function will be included in the development over the next months with other new features, which will be tested in a sequential order. The version avaialable from today has two new features: a. the ability of using value labels in an external project file, e.g. the whole ICD10 diagnosis list. b. The ability of creating value labels by importing data residing in a datafile, which can be any file type supported in current import. To use this get the experimental version from the indicated page and MAKE sure to install in a folder away from the public download version The sequence for using external labels could be: a. import data from an external source into a value label set. Menu->tools->Value labels from data b. save the project having these new labels. c. in another project open the value label editor (alt+v) and add as external labels a reference to the project which you created in a+b. You may now use the project in the EntryClient (which MUST also be the experimental version). Due to these bugs: - Export to SPSS/SAS did not create the csv data file. - Exporting more than once of the same project - Export reports had insufficient and partially faulty file naming A new version 1.4.4.4 of EpiData manager has been placed for public download on http://www.epidata.dk/download.php Additionaly some texts in captions and menu's have been clarified. Double Entry in Manager and EntryClient is NOT simultaneous entry with compare during entry. But instead separate entry with control after full entry in second file. B. Specification of Compare Duplicate Files (was validate duplicate files) - in which field by field is compared btw the two files based on key variables indicated. Data Content Validation - which will control a given file for internal consistency in accordance with specifications in that file. So the question is by no means malplaced. I have not decided whether it is a complete recording or just minor parts. I tend to draw a lot on the blackboard, so it is very flexible and dynamic - and therefore depends a lot of the specific course. But obviously it can be recorded for general access - I will think about a technical solution. I will tell more about that and add updated instruction materials in about a month, when the course is completed. I am also sure that the course will reveal some details of "insufficient function" or need for minor adaptations. So even though we have released now 1.4.4.2 for general use it is still important that all users discuss on this list. The number of possible combinations of operation systems (windows, linux, mac) and the versions of each of these make for quite many possible bugs, that we have had no chance to capture in the in-house testing. iam un able to export my spread sheet to stata 11.0. I was only able to, when i converted to version 8 of stata though with some difficult. Hello, I have mostly the same problem. I can open my original file "Beatrice.rec" and work on it. Nevertheless, as soon as I try to save the file (modified or not), I get this error message: savedata "Beatrice.rec" Saving data to: C:\Documents and Settings\Administrateur\Bureau\Beatrice.rec *Exception occured: Access violation at address 00723AE4 in module 'EpiDataStat.exe'. Read of address 0000006D* *Failed to save data to C:\Documents and Settings\Administrateur\Bureau\Beatrice.rec* Then, if I try to open this file newly created, the following message occurs: *Error in the datafile C:\Documents and Settings\Administrateur\Bureau\Beatrice.rec.~~The field definition in line 1001 could not be read or interpreted.* - It is on particular PCs using my log in only - Data is saved to the local drive - My operating system is: Windows XP Professional SP3. Query on auto calculation of duration between 2 date fields

I previously used v1.4.2 (x86_64_Win64, Windows 8) - that's the one which doesn't work. But I just figured out that it actually works with the beta version that I just installed: EpiData Entry Client Program Version: 1.4.3.3 r342 Core version: 1.4.3.0 r892 FPC Version: 2.6.2 Platform: x86_64-Win64 Filename: C:\XXX\Politiker.epx XML Version: 2 Field count: 34 Record count: 0 Principally this solves my problem. But I'm kind of unsure if it's reasonable to use a beta for our study, isn't it? Hey there, I'm currently experiencing an issue that prevents me from running multiple instances of the Entry Client. Our study makes use of two different analytical units whose forms should be filled out simultaneously. For this we need to open different files on the same computer at the same time. If the option "Allow multiple program instances" does what I think it does - it doesn't work for me. Is there a solution for this problem? Thanks for your help, Nico

Dear EpiData-list, I am having trouble running EpiData on my Mac. I have downloaded the version of EpiData for Macs, and used the directions in "readme.txt". I double click on runManager.command and then on startManager.app. The double click on startManager.app is always followed by an error message. I've tried several times, as has a student on her own Mac. We always receive the error message and cannot run the program. Is there a fix or workaround for this? Apologies if this has been asked before, we were not able to find a solution that worked on the archive. Thank you so much for your help. Prepare double entry in EpiData Manager v1.4.3.3

I have been attempting to use the above feature on a 64 bit Windows 7 professional machine but using the standard 32 bit version of the software (as most users in the organisation still have 32 bit machines), together with EpiData Entry Client v1.4.3.2. My understanding is that the process should work in the same way with this software as with EpiData Entry v3.1. Namely, in Manager create the duplicate project file using the "Prepare Double Entry" and then in EpiData Entry Client to open that duplicate project file and enter data, at which point any discrepancy between what is entered the second time compared to that entered first time should result in a message window listing possible actions the data enterer can undertake. First, I note that in Epidata Manager, no menu appears to select the ID field on which to compare the two files, so that data therefore needs to be entered in the same order in the duplicate file as was done in the original file (which seems to me to be a limitation). Second, upon opening the duplicate file in EpiData Entry Client, there is no message confirming that comparison is being made between the original and the duplicate and indeed, regardless of what data is entered in the duplicate file, no message window appears when there is a discrepancy between that entered in the original and that entered in the duplicate file. I feel like I must be missing something. Could somebody please enlighten. Problem with export to Excel

Hello everybody I just started to work with EpiData-Manager v1.4.2 this week. I was able to create a data entry form (questionnaire) and did start with data Input. After having finished the data entry of 3 patientforms I tried to export the data into an Excel-sheet (CSV-file). The problem is, that I am not able to fill in an excel-table properly. Instead of filling each heading into a seperate column in the excel-sheet everything is put into the first cell in the first column and separeted with a comma. More or less the same thing happens if I try to export my data with DDI. The only difference is that instead of commas the space-bar is used to separate the data in the line. Furthermore, some data is copied twice into the exported file. I will add a Word-document with screenshots, so your able to see what I'm referring to. I'd like to ask if you could help me to solve the problem (as a note: the same happend when I tried to export data out of the example form that was included in the download). Thanks in advance. I use EpiData 3.1. In one of my projects I encountered a strange problem: The qes file contains 78 variables in total. Among them there are about 50 Y/N(1/0) variables. When I enter data into the rec file by EpiData and enter a series of "N"(0) for these Y/N variables ,the EpiData begins producing a prompting frame showing : "Access violation at addrss 00000000. Read of address 00000000." I have to hit the "OK" button repeatedly to make the prompting frames disappear. After they disappear, the program in chk file seems having stopped working. How can I enter my data normally?

We have had no comment on the new .lock file system during the week and if no further issues arise in the comming week we intend to release these version as the next stable release. Dear All. Today we have released new test versions of both EpiData Manager (1.4.3.2) and EpiData EntryClient (1.4.3.1). This release has two major focus points: 1) Handling the case where two users/programs tries to open the same file. 2) Make forms/windows behave uniformly in regards to storing position & size, and closing using shortcuts. In addition a number of minor issue have been fixed and added: With regards to (1) we have implemented a new principle to handle the case where two programs wants to access the same file simultaneously. This is done by maintaining a lock file (taking the name of the project file and adding a .lock as suffix), which contains the locking information. Keep in mind that this does not prevent two users from overwriting the same project file, but the programs have a much better chance of detecting a possible problem before it even arises. We have tested the lock file system extensively and found it more reliable than the current method, which basically just checks the timestamp of the project. However since it is a very new feature some issues may still exist so if you experience any problems please report the problems on this mailing list or to the bugtracker: http://www.epidata.info/flyspray/ The complete list of changes Both programs: * All forms can be closed using ESC, and positions & sizes are kept on close. * Added a shortcut to browse data (Ctrl + D or Cmd + D) * The list of recent files is kept up-to-date, even if both programs are opened at the same time. * A short message is given when copying the version information to clipboard. Manager: * Changed shortcut for "Extend Page" (Ctrl + Enter, Cmd + Enter) * Default field length for Integer field changed to 1 (was 2) * Other minor text changes in reports. They both installed with success and ran without any issues. Hello everybody, I'm working with the 1.4.2 Manager version since 1 week. I found some limitations to create a structure for a data base (it's the first one I do). For example, I can't put on a menu with options for every field near to the question visible in the Entry data version. So, I must choose between an up window or an information box, but I can't see both at the same time when the Entry data version ist running. Moreover, I don't know (or I don't find) how to inscript commands before document, and what are all the possible commands. Cause of this, finally I've began using the raw document (I opened the epx.file in a text processor like Notepad++ or gedit) and work in this way. But my problem now is that I don't know enough commands to use, and I don't find any internet document containing explanations about Epidata commands for the .epx files (only for old versions with checking mode). In the latest release of EpiData, the SPSS export has one remaining problem, but the workaround is very simple. The xxxx.sps file should be edited in a plain text editor to correct the line beginning with FREE Here is what Epidata has in the xxxx.sps file: SET DECIMAL=dot. DATA LIST FILE = "/path/file.txt" ENCODING="UTF8" FREE {("|")} <---- this is the problem line RECORDS = 1 It should be SET DECIMAL=dot. DATA LIST FILE = "/Users/charlesknightsbridge/Data/BRFSS/brfss.2013-09-14.2.txt" ENCODING="UTF8" FREE ("|") <---- remove the braces RECORDS = 1 That is, remove { and } from the line that starts with FREE. That is change FREE {("|")} to FREE ("|") Oddly enough, if you use the open source software PSPP, you do not have to make this change, but it will work either way. Also take note that the delimiter used for the data file (xxxx.txt) is a vertical bar (|). If you might have a vertical bar inside a text field in Epidata, the import into SPSS or PSPP will fail. That would be a very unusual character to have in a text field anyway. Jamie

Dear all A number of issues have been reported on the list since the release of version 1.4.2 of EntryClient and Manager. The following issues have been settled. Both programs: * Keyboard Shortcuts and Introduction documents are now placed on the computer and links to the net are indicated as such. * Install and running om Mac computer should be fixed now. * Clear link to the wiki (such that we can start adding information on the wiki). Dear Jan and all Listers, I am sorry for not providing detailed information earlier. Well, I am using EpiData 3.1, and extract of the check file is provided at the end. I wished to do data validation using the Double Entry Verification mode, but when I used an automatically generated unique identifier for the records using three fields(district,school and student) it could not prompt for correction even when there was discordance. The key-field I selected *to prepare for double entry verification* was '* UNIQUE*'. However, when I selected key-field as '*STUDENT*' there was prompting for discordance. And yet student number alone may not uniquely identify records in the data set. What is the solution? Dear listers, I'm trying to convert EpiData files to Stata format. I've stumbled upon a problem similar to the one described by Jan in a post from 2008: http://lists.umanitoba.ca/pipermail/epidata-list/2008q3/001082.html (This is the only reference I've been able to find on the list and Google) My command and output are as follows: ------------------------------- C:\test>EpiC.exe e STATA8 PEDPATIENT28032012ES * REPLACE EpiC - the EpiData command application version 3.1.2 14. Write of address 022AC000. ------------------------------- The files are converted correctly when I use "STATA" option, but since it converts to Stata 6 version I don't get the correct variable names whenever they are too long. I've tested it on two machines: one running Windows Server 2008, and one on Linux (using Wine). The files are converted correctly using EpiData 3.1 GUI. Are there any solutions to this problem? I just made some data entry when I recognized that I forgot to write down a variable in the qes-file. My way to handle the problem is to write a new qes-file than a new rec-file and start the data entry again from the beginning. But this can't be the accurate way, right? Epidata manager export to SPSS issues

Dear All I am unable to export data created in epidata manager to SPSS In the SPSS data file created,many variables get compressed into 1 variable, for example 2 or 3 nearby varaibles are all shown in the same column in SPSS However, the variable view of the same file it appears that all variables, variable labels and codes are seperate??? Hi Does anyone know what is this when I try to install epidata manager? I'm using Ubuntu 13.04: Lintian check results for /home/mcardeal/Downloads/setup.epidatamanager.1.4.2.0-0_i386.deb: E: epidatamanager: control-file-has-bad-permissions postinst 0775 != 0755 This started happening after the last update EpiData (July 2013). Data validation using the same file

Hi, This may sound silly but I feel that I need to report this. When I tried to do the double entry validation using one single file (i.e. I selected one epx file twice for the purpose of validation), EpiData Manager did not prevent me to do this. It produced a report which, of course, has no discrepancy. I tried this on both EpiData Manager (v1.5.0.10) and (v1.4.2). Both gave me the same result. Below is an excerpt of the validation report I just created showing validation was attempted using the same epx file. ======================================== Report: Double Entry Validation Report. technical question on transferring cyrillic letters from epidata dataset to spss

Hello, My colleagues in Kazakhstan have entered data. The personal identifier that I need to link the records to another database includes numbers and Cyrillic letters. The letters are not exported correctly from Epidata, neither when saved as an excel-file or as an text-file. I would like to do the analysis in SPSS. I hope someone has experience with this and knows a solution on how to export Cyrillic letters into SPSS! The major problems are with the current test EntryClient module for download from Http://www.epidata.dk/testing.php The mail below is a bit unclear about the bugs. The major problems relate to the EntryClient not to the Project Manager. Obviously we have strengthened the internal test routines to include more samples. It is of course as well annoying and a "not so nice" stamp on our reputation to spend users time on testing faulty software. So apologies for that. As users will have noticed there is a clear warning on the testing page saying that one should only work on copies of data with the test versions. The task of simulating user behaviour before releasing a test version is not an easy one. For Analysis we have almost 2000 different asserting commands and statements, but have until now not been able to implement a "non-human" standardised testing sequence for EpiData Manager and EntryClient - apart from going through a number of tests and applications ourselves. Despite the efforts spent in strengthening the internal test routines we still hope to release the new test versions within a few days. There will be updated versions of both EntryClient and Manager. And following that public release about two weeks later unless the testing period reveals major problems. Rather soon - following the next public release we will clarify the aspects tested and how our test files are. The major problems are with the current test EntryClient module for download from Http://www.epidata.dk/testing.php The mail below is a bit unclear about the bugs. The major problems relate to the EntryClient not to the Project Manager. Obviously we have strengthened the internal test routines to include more samples. It is of course as well annoying and a "not so nice" stamp on our reputation to spend users time on testing faulty software. So apologies for that. As users will have noticed there is a clear warning on the testing page saying that one should only work on copies of data with the test versions. The task of simulating user behaviour before releasing a test version is not an easy one. For Analysis we have almost 2000 different asserting commands and statements, but have until now not been able to implement a "non-human" standardised testing sequence for EpiData Manager and EntryClient - apart from going through a number of tests and applications ourselves. Despite the efforts spent in strengthening the internal test routines we still hope to release the new test versions within a few days. There will be updated versions of both EntryClient and Manager. And following that public release about two weeks later unless the testing period reveals major problems. Rather soon - following the next public release we will clarify the aspects tested and how our test files are. Delete data or records I have made one test in my Entry-file. I have saved one record in the Entry-file, now I can’t change, delete or save in my Manger-file. I have also tried to rename and import again. It continues to link back and report that the file contains data entered earlier. There comes a warning with "Fields contains data" and when I say yes to delete, I can’t subsequently be allowed to save. The report "Access violation" press Ok to ignore and risk data corruption or Press cancel to kill the program " Question: -How can I delete or empty data or records in a Entry file. (I have tried the delete function in Entry) The file is made in version 1.4.1. the file is an epx file made on my MacBook. I have installed the new version 1.4.2. Dear Epidata list, I would appreciate very much if you can point me to a resource on calculated fields. I would like to: 1. have a calculated field that adds the value of 12 other integer fields 2. have a calculated field that is a proportion/percentage, using as source two fields Is that possible? Jamie, thank you very much indeed. I have to say that the fields are within a section and that after aligning them it doesn't work as I want. Though epidata doesn't recommended it, I will have to use the mouse to go from field to field in the order it should be.
