The Copyright Office has received numerous reports that course materials created by faculty have been posted or shared without the permission of the faculty member who owns that content. As a student, it's important to understand that course materials created by an instructor or professor are copyrighted content. This includes PowerPoints, handouts, or notes made available for private study and research. These materials must not be shared or distributed in any format without authorization (this includes course note sharing or tutoring websites such as Course Hero, Chegg, etc.). Please make sure to confirm your exam date, time, location, and format. Plan your arrival: Make sure you have a plan to get to campus early in case transport does not go as planned. Check out the classroom in which your exam is taking place in advance! 1. Supplies: Ensure you have the necessary writing utensils and some extras! Students must ensure that all items required for the examination are placed on top of the desk prior to the start of the examination. 1. Attendance & identification: Students must display their UM student ID card or government issued photo identification (such as a passport or driver's license) and are required to sign an attendance form. 1. Arriving late: * Students who arrive more than 30 minutes after the start of the examination will not be permitted to write the examination. * Students who arrive less than 30 minutes late, will be permitted to write the examination, but must stop writing at the end of the scheduled exam time. * Students are not permitted to enter the examination room after at least one other student who is writing the same examination has left the examination room. * If you are late and not permitted to write an examination, you will be asked to complete the appropriate form by an invigilator and will then be advised to contact the Office of your Dean or Director no later than the next business day to discuss possible alternatives. 1. Illness/ emergency during your exam: If you become ill or receives word of a family emergency during the course of an examination and are unable to continue, you must report at once to the Head Invigilator, hand in the examination, and indicate either that you wish to submit your examination paper as: (1) completed; or (2) not completed and with the right to request a deferred examination. Medical or supporting documentation may be required for your deferral request. 1. Leaving the exam: * Students are not permitted to leave the examination room during the first thirty (30) minutes of an examination. * Students are not permitted to re-enter an examination room until all examination scripts have been collected. ________________________________ Unauthorized materials in exams Students are not permitted to access any unauthorized materials during an examination. Survey Regarding the Summer Term Academic Schedule (Students)

This email is sent on behalf of the ad hoc committee reviewing the current summer term academic schedule. In 2021, the structure of the Summer Term Academic Schedule was revised to provide a more simplified model with two 6-week segments and one 12-week segment. Each segment is followed by one week without evaluation or instruction to facilitate course grading. Field trip and co-op courses are scheduled separately as appropriate. In November 2023, Senate approved a motion to review the Summer Term Academic Schedule. An ad hoc Committee to Review the Summer Term Academic Schedule was established in 2024 with the following members: Donna Martin (Associate Dean, Graduate Programs, Nursing) Greg Smith (Vice-Provost (Academic Planning and Programs)) Jeff Adams (University Registrar and Executive Director, Enrolment Services) Gayle Gordon (Associate Registrar and Director of Systems) Philip Ferguson (Engineering) Jeremy Patzer (Arts) John Sorensen (Science) Rob Hoppa (Associate Dean, Research, Arts) Horace Luong (Associate Dean, Student Experience, Science) Taylor Friesen (Agricultural and Food Science) Rachhvir Dhaliwal, (UMSU Vice President University Affairs) Christopher Yendt (UMGSA President) The objectives of the review are to investigate any impacts of the Summer Term Academic Schedule structure on: * students' summer employment, * units' ability to hire instructors to teach Summer Term courses, and * academic staff members' ability to take vacation time in the summer. Additionally, the ad hoc committee will determine if the goals for restructuring the Summer Term Academic Schedule were met. The goals were: * provide an outstanding student experience, * create a schedule that enables students to learn course material in a comparable way to courses taught in the Fall and Winter terms, * allow for sufficient time in an examination period with few or no exam conflicts, * provide time for instructors to complete marking and for students to receive their grades prior to beginning their next courses. We are interested in learning about the perspectives of the current Summer Term Academic Schedule amongst all students. You are invited to complete a confidential survey about the current Summer Term Academic Schedule. The survey will take approximately 20 minutes to complete. Survey results will be summarized and included in a report to Senate in 2025. This survey was approved by the UM Survey Review Committee. UM’s commitment to anti-racism and our anti-racism learning framework

[University of Manitoba logo] March 21 marks the International Day for the Elimination of Racial Discrimination. This annual occasion recognizes historical and ongoing injustices and prejudices fueled by racial discrimination. In Canada, Indigenous peoples, racially marginalized people, and marginalized religious communities face racism and discrimination regularly. Institutions such as universities are inextricably linked to Canada’s colonial legacy, with racial inequities manifested through policies, practices and culture. We underscore UM’s fundamental commitments to anti-racism and social justice, outlined in MomentUM: Leading Change Together, UM’s 2024-2029 strategic plan. This includes a call to work together to dismantle systemic racism, to advance Reconciliation for transformative change, and to foster a vibrant community for all. UM’s Anti-Racism Task Force, established in 2022, gathered voices from across our campuses, while building on decades of community anti-racist activism at UM. It recommended areas for immediate action focused on education, policies and processes, and aimed at eliminating all forms of racism across all areas and levels of the institution. “This work is not only important; it’s essential.” - President Michael Benarroch The learning journey on racism and anti-racism To advance these foundational commitments, UM is providing meaningful learning and engagement for students, staff, and faculty at various stages of their learning journeys about racism and anti-racism. The Anti-Racism Learning Framework is responsive and flexible. It seeks to increase visibility for the many learning opportunities on racism and anti-racism organised by units, groups, and individuals across UM campuses. It also highlights centrally-organised workshops, events, and series with a racial justice lens including the Public Classroom initiative, Indigenous Scholars Series, Indigenous Summer Institute, Fireside Chats, and Data Justice Series. Starting in April 2025, the framework will include shared foundational learning delivered through annual Anti-Racism Training, as mandated for all public employees by the Manitoba provincial government. Review Committee Seeking Input re: High-Quality Teaching at UM

Torchia, Vice-Provost (Learning, Analytics, and Academic Infrastructure) and Chair, Senate Committee on Instruction and Evaluation. ________________________________ Teaching and course evaluations at the University of Manitoba are currently provided by a singular end of term student reflections on instructors and courses (SRI) instrument. Literature relating to the assessment of high-quality teaching and courses design continues to expand, including adopting assessment approaches that support contextually relevant models of teaching assessment. Reflections by the Senate Committee on Instruction and Evaluation about SRI in the overall context of the UM Evaluation of Teaching Policy have provided an opportunity for a holistic review of current practices and needs regarding how high-quality teaching is defined and assessed at UM. The Review Committee is now seeking broad input from the University of Manitoba community to generate feedback about qualities of high-quality teaching and identify possible methods of teaching assessment. We are receiving some questions from students about the bargaining process currently underway with UMFA, the University of Manitoba’s Faculty Association, that I would like to address. The university has met with UMFA twenty-nine times since the Summer term and continues to bargain in good faith, with the intention of concluding a collective agreement without a labour disruption. The university remains committed to a fair deal for UMFA and to ensuring an outstanding teaching and learning experience for students. Please be assured that the university remains open, and all classes and activities are continuing as usual. The event and Q&A session following the lecture will be emceed by Dayna Spiring [BA/98; LLB/01]. She is the recipient of UM’s 2023 IGNITE award, the first woman to have her name engraved on the CFL’s Grey Cup, and the driving force behind many sporting events, including Winnipeg’s successful bid to host the 2025 Grey Cup. Sinclair is the former captain of Canada’s women’s soccer team and an iconic athlete who has led teams through five Olympics (winning gold and two bronze medals) and five World Cups. With an astonishing 190 goals in 300 international matches, she holds the record as the all-time leading scorer in international soccer history. The five-time Olympian is also an Officer of the Order of Canada, an ambassador for the MS Society of Canada, and an advocate for gender equality. In her lecture she will share her inspiring journey—detailing the teamwork, passion, and resilience that propelled her to the top of her sport. She’ll also talk about the barriers female athletes face and how we can collectively work to dismantle them to build a more inclusive future. Update on Emergency Response and Safety Enhancements

Last month, we committed to review<https://news.umanitoba.ca/follow-up-on-campus-safety-incident/> our response to the November 19 report of an armed person on the Fort Garry campus. While the report was unsubstantiated, we remain committed to transparency and continuous improvement in our emergency response efforts. Such reviews take place after any serious incident as outlined in UM's Emergency Response Plan. The Emergency Response Team and UM leadership have now completed that review and created a plan to strengthen our response in three key areas: communication, education and infrastructure. Areas for Improvement: Communications: * Ensure information is shared in a timely manner on a range of channels. * Increase adoption of the UM Safe App<https://umanitoba.ca/security/#your-safety-on-campus> among students, staff, and faculty. This includes promoting the App in acceptance letters, onboarding and performance reviews. * Explore ways to expedite communication during emergencies, so that UM Safe App messages and emails reach our community as soon as they are sent. * Ensure coordination with Winnipeg Police Service when they are communicating about our campus. Education: * Expand training on the Emergency Response Plan and safety protocols, offering annual sessions to the entire UM community and tailored sessions for leaders, faculties and units. * Offer training sessions in partnership with the Winnipeg Police Service (WPS) about how to support safety in the event of an active threat on campus. Infrastructure: * Continue to update the closed-circuit televisions (CCTVs) across campuses, including hiring a security consultant to provide additional feedback to enhance the campus CCTVs. * Upgrade the loudspeaker system on the Fort Garry campus to ensure clearer communication. * Continue installation of additional Code Blue emergency poles for enhanced access to security services at both the Fort Garry and Bannatyne campuses. Looking Ahead We wanted to share this update with you now, as we close out 2024, and commit to additional updates in the New Year. They continue to hold one-to-one appointments throughout the exam period. Plan your arrival: Make sure you have a plan to get to campus early in case transport does not go as planned. Check out the classroom in which your exam is taking place in advance! 1. Supplies: Ensure you have the necessary writing utensils and some extras! Students must ensure that all items required for the examination are placed on top of the desk prior to the start of the examination. 1. Attendance & identification: Students must display their UM student ID card or government issued photo identification (such as a passport or driver's license) and are required to sign an attendance form. 1. Arriving late: * Students who arrive more than 30 minutes after the start of the examination will not be permitted to write the examination. * Students who arrive less than 30 minutes late, will be permitted to write the examination, but must stop writing at the end of the scheduled exam time. * Students are not permitted to enter the examination room after at least one other student who is writing the same examination has left the examination room. * If you are late and not permitted to write an examination, you will be asked to complete the appropriate form by an invigilator and will then be advised to contact the Office of your Dean or Director no later than the next business day to discuss possible alternatives. 1. Illness/ emergency during your exam: If you become ill or receives word of a family emergency during the course of an examination and are unable to continue, you must report at once to the Head Invigilator, hand in the examination, and indicate either that you wish to submit your examination paper as: (1) completed; or (2) not completed and with the right to request a deferred examination. 1. Follow-Up on Campus Safety Incident

Please understand, that as this is an ongoing police investigation, we are limited in our ability to comment on the matter, however we can provide the following update. UM Security immediately responded to the incident reported early yesterday morning, working closely with Winnipeg Police Service (WPS) to assess and address appropriately. As with any report of a potential threat to campus safety, our first priority is to secure impacted areas. UM sent out information through multiple channels including the campus loudspeaker, UM's social media channels, umanitoba.ca, email, and UM Learn. Out of an abundance of caution and to support the WPS response efforts, UM made the decision to cancel in-person classes and exams on the Fort Garry Campus for the remainder of the day. We are aware of concerns that information was not shared quickly enough. As with any event of this nature, we will review the effectiveness and efficiency of our relevant protocols to ensure our processes align with our commitment to a safe and supportive environment. In their afternoon press conference on November 19, WPS reported that there were "no injuries" and said, "we don't have any information right now that would bring us to believe that someone was assaulted." We continue to take this matter seriously and are cooperating fully with authorities on this ongoing investigation. We recognize that incidents like these can cause stress and anxiety for some members of our community, especially in the context of recent events. It has been determined that there is no imminent threat to public safety. The Major Crimes Unit continues to investigate this matter. We thank you for your patience and cooperation. Important Security Update - Image Release of Residence Incident Suspect

Mauro Residence in which an unauthorized individual entered the building and assaulted a resident. Security Services are assisting Winnipeg Police Service (WPS) and supports are being provided to the affected residents. Effective today, UM is increasing the security presence on campus for the immediate future. WPS has released an image of the individual believed to be responsible. As part of their ongoing investigation, we are sharing this with our university community to support efforts to identify and locate the suspect. This process will explore people's passion for the brands, consideration of the brands reflecting today's students and UM community, as well as alignment to UM's institutional brand that launched in 2019. This bold plan outlines our key areas of expertise for maximum impact by providing solutions to society’s most pressing challenges. Informed by community consultations and MOMENTUM: Leading Change Together 2024-2029<https://umanitoba.ca/strategic-plan>, this draft framework outlines the vision, mission and shared values, which has guided the Reconciliation Advisory Committee in its work. Before the Reconciliation Advisory Committee moves forward with presenting the final framework to Senate and the Board of Governors for approval, we invite you to read and share your feedback on this important document. This framework will guide our shared work over the next five years. We want to ensure that it resonates and that the diversity of voices and perspectives that strengthen our UM community are reflected in the framework. You will receive messages by text when it is your turn to come to the Registrar’s Office. * Students who already have a Photo ID card do not need a new one each year/term. * Photo ID cards are required to obtain a U-Pass for Winnipeg Transit bus service. There is no U-Pass in the summer but keep your Peggo card! No one will be charged a U-Pass fee in their tuition during the Summer Term. If you remain a full-time student in the Fall Term, your U-Pass Peggo card will stay active and automatically reload on September 1st. You can load your own product on your U-Pass Peggo card during the Summer Term. [cid:image001.png@01DAA2DC.FE8E62A0] Hello UM community, Late last week, we learned that Students for Justice in Palestine (SJP) was planning a protest encampment at the Fort Garry campus on May 7-9. Student Affairs and Security Services both immediately reached out to SJP to discuss the expectation that the event remain peaceful. Since the start of the protest on Tuesday morning, Security Services has been on site to monitor the situation and ensure a safe environment. Although SJP publicly communicated their intention to remove the encampment as planned, tents remained last night, and a protest continues today. There are now also plans for outside groups to protest at the Fort Garry campus on Saturday, which has resulted in the very unfortunate cancellation of Science Rendezvous.
